The Partner Relations Specialist Assistant provides administrative and operational support to the Office of Portfolio Management. This role assists with managing the Emphasys software system, tracking support tickets, coordinating training activities, maintaining records, and communicating with both internal staff and external partners.
The ideal candidate is organized, detail-oriented, and comfortable working with databases, spreadsheets, and customer service inquiries.
Key Responsibilities
Emphasys System Support
- Assist with entering and maintaining data within the Emphasys system
- Support software implementation projects and updates
- Monitor and track project milestones and deliverables
- Coordinate schedules and meetings related to software implementation
- Log, categorize, and track support tickets
- Follow up on open issues and ensure timely resolution
- Maintain the Priority Workbook and update ticket statuses
- Provide status updates to leadership as needed
- Coordinate training sessions and meetings
- Prepare reports and correspondence
- Communicate with internal staff and external partners
- Maintain organized records and documentation
- Assist with special projects as assigned
- Learn and support affordable housing programs including:
- Low-Income Housing Tax Credit (LIHTC)
- HOME Program
- Other affordable housing programs monitored by the Office of Portfolio Management
- Participate in required affordable housing training
- Strong organizational and administrative skills
- Excellent written and verbal communication skills
- Experience working with databases and data entry
- Proficient with Microsoft Office Suite, including Excel
- Ability to manage multiple tasks and deadlines
- Strong attention to detail
- Customer service experience preferred
- Experience supporting software systems or ticket management processes is a plus
Reports to the Director, Office of Portfolio Management, Housing Finance & Development Division.
