The OpportunityÂ
VideoLabs is seeking a Technical Project Manager to lead the development and implementation of a workflow management system supporting our core internal IP processes (e.g., patent analysis, ranking, case development) and the parallel evaluation of future Asset Management and CRM systems. You'll review and document our internal processes, define base-level system requirements, and guide the company in selecting, implementing, and configuring the most suitable SaaS workflow management system (e.g., Asana, Trello, Wrike) to improve productivity and collaboration. You'll run gap analyses across the company, gather requirements, project-manage the effort end to end, and introduce automation and sustainable new technologies enabling VideoLabs to scale effectively and efficiently as it grows.Â
ResponsibilitiesÂ
General Program ManagementÂ
- Assess and understand the interdependencies and requirements of the current workflow, project management, CRM, and asset management practices within the organizationÂ
- Research and evaluate various workflow and/or workflow management systems (e.g., Asana, Trello, Wrike, or other options) based on business needsÂ
- Test and choose appropriate CRM, workflow management, and asset management vendors for the company based on the business size, type, and growth trajectoryÂ
- Select and implement the most appropriate workflow management system to help each team and overall company with prioritization and visibilityÂ
- Design and document workflows that align with the company's objectivesÂ
- Collaborate with various teams to ensure successful adoption and integration of the chosen systemÂ
- Train employees on how to use the new workflow management system and follow established workflowsÂ
- Optimize workflow management processes to increase efficiency and effectivenessÂ
- Produce reports and metrics to track project progress and evaluate the system's impactÂ
- Create self-sustaining data dashboards that help ICs and leadership yield valuable insightsÂ
Technical Project ManagementÂ
- Proactively identify risks and roadblocks, and manage escalations related to scope, budget, timeline, or qualityÂ
- Manage vendor contracts, statements of work, and procurement activities for selected systemsÂ
- Coordinate resources and staffing across multiple concurrent initiatives, tracking capacity constraintsÂ
- Serve as the key liaison between business stakeholders, technical teams, and external vendors, translating business priorities into clear system requirementsÂ
- Ensure new tools and workflows meet the company's data-security and confidentiality standards, appropriate for a fast-moving technology organizationÂ
QualificationsÂ
- Proven experience as a Technical Project Manager and/or consultant, specifically in developing, implementing, and configuring workflow and/or project management systemsÂ
- Deep familiarity with workflow management tools such as Asana, Trello, or similar systems, and practical work experience (on behalf of clients or your company) developing and configuring unique workflows within leading SaaS-based workflow management systemsÂ
- Experience working within an iterative development environment (Agile, Scrum, etc.) requiredÂ
- Expertise in workflow design and process improvementÂ
- CRM expertise particularly for small high-tech businessesÂ
- Vendor management experienceÂ
- Ability to organize information quickly and at a high level to address potential roadblocks and define the best way forwardÂ
- Excellent communication and teamwork abilitiesÂ
- Self-motivated, detail-oriented, and able to work independentlyÂ
- Time management and multitasking abilitiesÂ
- Comfortable working with tight deadlinesÂ
- Experience with data management, democratization, and creating self-sustaining, relevant datasets and dashboardsÂ
- 5–8+ years of experience in Technical Project Management or technology/product delivery rolesÂ
- Bachelor's degree in computer science, Engineering, Business, or a related technical field, or demonstrated equivalent industry experience Â
- Working knowledge of Waterfall and hybrid delivery methodologies, and common technical collaboration tools such as Jira, Confluence, and SmartsheetÂ
- Strong business-requirements analysis skills, with experience translating business priorities into technical specificationsÂ
- Comfortable managing external vendor and tooling contracts, procurement, and cross-functional rollout processesÂ
