Fleet Manager

We are looking to hire a Fleet Manager to oversee end-to-end fleet operations, including vehicle procurement, vendor management, telematics, fuel, maintenance, compliance, and accident claims. This role partners with finance team and local operational team members to ensure cost‑effective, safe, and reliable fleet performance while driving data‑based improvements across a multi‑state operation.

What You’ll Do

• Oversee end-to-end vehicle acquisition: ordering, build specs, delivery timelines, upfitting, and deployment readiness. 

• Coordinate vehicle upfits and accessories (racks, bins, ladders, safety equipment, GPS/telematics hardware, cameras, etc.). 

• Manage vehicle rotation, replacement scheduling, and remarketing/disposal (auction, dealer trade, or other approved channels). 

• Partner with finance on capital planning, forecasting, and approvals tied to growth and replacement needs. 

• Own vendor relationships and negotiations across:  

• Vehicle dealers and upfitters 

• Truck wraps/graphics vendors (brand standards, install scheduling, quality control) 

• Rental car program (contract management, utilization controls, billing accuracy) 

• Maintenance/repair partners and national accounts 

• Telematics provider(s) and fuel card provider(s) 

• Administer telematics configuration, hardware deployment, and troubleshooting with local teams. 

• Monitor key behaviors and compliance (speeding, harsh events, idling, unauthorized use, geofencing) and route exceptions to leaders for coaching. 

• Produce recurring dashboards and insights for operations/safety (trends, hotspots, improvement opportunities). 

• Administer fuel card issuance, controls, PIN/driver assignment, merchant category restrictions, and exception reporting. 

• Investigate misuse and anomalies; partner with leadership/HR as needed on corrective action. 

• Track fuel efficiency and cost per mile; drive initiatives to reduce idling and improve utilization. 

• Build and manage a preventive maintenance cadence (PM schedules, inspections, tire program, recalls, warranty work). 

• Coordinate repairs and minimize out-of-service time through standard triage process, preferred repair network, escalation paths for critical vehicles, backup vehicle/rental strategies. 

• Ensure vehicles are compliant with state requirements (registration, inspections, emissions where applicable). 

• Own the post-accident workflow: incident reporting, evidence collection, repair estimates, rental coordination, and return-to-service timelines. 

• File and manage insurance claims and oversee the full claim lifecycle (documentation, adjuster communications, shop coordination, settlement accuracy). 

• Partner with local teams to execute fleet processes consistently across states/brands while respecting operational realities. 

• Coordinate vehicle onboarding/offboarding (vehicle condition checks, signage/wrap readiness, telematics/fuel setup, documentation packets). 

• Provide training and support for leaders and technicians: vehicle care, inspections, accident steps, fuel card best practices. 

• Establish & own consistent reporting on: fleet uptime / out-of-service rate, preventative maintenance compliance, accident frequency and claim cycle time, fuel spend, idle time, etc. 

• Identify process gaps and implement improvements to cost, safety, and technician experience. 

• Support audits and documentation standards; ensure billing accuracy and reconcile vendor invoices with AP/finance. 

What You Need

Education: 

• High School Diploma or GED required
• Bachelor’s Degree in Business or related field preferred, but not required

Experience:  

• 3+ years fleet operations experience (multi-site preferred) 

• Contract negotiation and vendor management 

• Telematics administration and driver behavior reporting 

• Fuel program controls and exception management 

• Maintenance program management (PM compliance, downtime reduction) 

• Insurance claims management (auto physical damage) 

Computer Skills: Proficient with Microsoft tools; strong Excel/reporting skills; experience with fleet/telematics platforms. 

Certifications & Licenses:Valid driver’s license with acceptable driving record (per Auto Insurance Guidelines).
