General Notes

The WiSTEM Student Program Coordinator supports the implementation of WiSTEM’s university-wide recruitment and retention programs for undergraduate STEM students and provides essential administrative and business operations support for WiSTEM’s outreach, recruitment, and retention programs. This role fosters student success by coordinating initiatives that build STEM identity, self-efficacy, and a strong sense of belonging, while inspiring persistence in STEM education and careers.

 

Must be eligible to work in the United States on a full-time basis for any employer.


Purpose

This position supports the implementation of WiSTEM's university-wide recruitment and retention programs for undergraduate STEM students, fostering a sense of belonging and self-efficacy that enhances students' academic and professional success. The role supports key aspects of WiSTEM's business operations, including invoicing and bill payment, student staff hiring, room reservation management, and supplies inventory and ordering, while collaborating with university departments and external partners to promote STEM programs and initiatives. The position also manages multiple projects simultaneously, upholding ethical and professional standards throughout.


Responsibilities

  • Living Learning Community (LLC) Program (Year-round): Responsible for all aspects of the residential LLC, including:
    • All aspects of community recruitment, including participant communications and marketing, application and admissions, messaging, follow-up, invoicing, and scholarship awards. Manage communication and coordination with University Housing and Dining for room placement and assignment.
    • Communications, weekly resident experience and engagement, program content, program delivery (activities/meetings/programs), University Housing and Dining communications, and meetings/trainings. Oversee student program staff, including hiring, training, supervision, weekly meetings, and communications. Conduct program-level assessment and evaluation activities and contribute data and insights to WiSTEM’s broader evaluation strategy under the Director’s guidance.
  • iConnect Program (September, January): Responsible for scheduling, marketing, student recruitment, and facilitation of iConnect Fall Festival and Spring iConnect Networking and Etiquette Dinner. Coordinate with the WiSTEM Director on corporate engagement. Recruit STEM Role Models and manage engagement. Manage one-time iConnect corporate sponsor events such as company site visits, Chocolate Chats, Office Hours, or other limited-attendance events. Conduct program-level assessment and evaluation activities and contribute data and insights to WiSTEM’s broader evaluation strategy under the Director’s guidance.
  • Externships(October – January, March – August): Responsible for all aspects of the virtual externship experiences, including learning plan creation or management, student recruitment and marketing, registration, participant communications and newsletters, student experience and engagement, program content, program delivery, completion verification, and badge awards. Conduct program-level assessment and evaluation activities and contribute data and insights to WiSTEM’s broader evaluation strategy under the Director’s guidance.
  • WiSTEM Monthly Newsletters, Canvas, and Social Media (Year-round): Execute WiSTEM’s communication strategy through the development and distribution of the WiSTEM Events and Volunteer newsletters, social media content, and digital platforms (Canvas), in alignment with the Director’s strategic guidance and input from WiSTEM staff.
  • Administrative Responsibilities(Year-Round):Support all aspects of Student Program WiSTEM business operations, including processing, invoicing, bill paying, student staff hiring, room reservation management, and supplies inventory and ordering. Maintain accurate records and files, ensuring confidentiality and compliance with university policies. Work with university departments and external partners to advance WiSTEM business operations.
  • Role Model Monday Webinars (June – July): Responsible for scheduling, STEM role model recruitment, marketing, panelist and participant communications, facilitation, recording, posting, and promotion of summer webinar series. Coordinate with the WiSTEM Director and Outreach Program Manager on corporate partner and STEM role model engagement. Conduct program-level assessment and evaluation activities and contribute data and insights to WiSTEM’s broader evaluation strategy under the Director’s guidance.
  • WiSTEM Office Student Staff & Student Leadership Ecosystem(Year-round):
    • Hire, train, oversee, and coordinate Fall and Spring WiSTEM CREW. Support the Outreach Program Coordinator in the hiring, orientation, management, and leadership development of the WiSTEM Summer CREW.
    • Student Leadership Ecosystem:Manage day-to-day operations of the Student Leadership Ecosystem Slack workspace, including communication, resource sharing, and project supervision. Partner with the Outreach team to support leadership involvement in major programs and events, including STEM Girl Day, STEM summer camps, K-12 outreach initiatives, and other community engagement efforts.
  • Program Operations, Community, and Support(Year-Round): Participate in WiSTEM staff meetings and retreats. Engage with the campus community. Engage with local, regional, state, and/or national STEM education communities. Assist with outreach and recruiting STEM student programming, such as STEM Girl Day, camps and academies, and the Outreach Ambassador program, as needed. Coordinate with the WiSTEM Director and Outreach Program Manager on corporate partner, alumni, and STEM role model engagement.

 

Required Qualifications

  • Bachelor’s degree and minimum 3 years of experience coordinating or administering programs such as student organization activities, non-profit programs, summer camps, etc.
  • Experience working with high school and college students.
  • Experience leading event planning, logistics management, and project management

 

Relevant education and experience may be substituted as appropriate.

 

Preferred Qualifications

  • Bachelor’s degree in a STEM discipline or with a STEM emphasis/minor.
  • More than 3 years of experience developing and leading STEM education programming, STEM student events and outreach programs, and STEM program coordination.
  • Experience leading and managing high school and college students.
  • Experience leading event planning, logistics management, and project management

 

Salary Range

$50,000 + depending on qualifications

 

Working Conditions

  • This is an in-person, on-campus position with regular workdays and business hours from Monday to Friday.
  • The role requires working in a small team environment with frequent interruptions and distractions.
  • Occasional weekend and evening work is required.
