Job SummaryÂ
The Executive Assistant position provides advice, staff assistance, and confidential administrative support to BCFD executive leadership. Coordinates policy implementation, executive priorities, special projects, and follow-up on leadership decisions. Researches administrative matters, prepares reports and correspondence, and serves as a liaison among leadership, department staff, City agencies, and external stakeholders.

Essential Functions
Â
- Assists leadership in developing and implementing administrative policies, procedures, practices, and long-term goals.
- Interprets approved directives for staff, monitors implementation, and identifies issues requiring executive attention.
- Conducts research and completes confidential or special assignments.
- Compiles and analyzes administrative and statistical information; prepares briefing materials, reports, recommendations, and correspondence for executive review or signature.
- Investigates and resolves sensitive administrative problems and complaints at leadership’s request, within delegated authority.
- Coordinates executive meetings and supporting materials, records decisions, and maintains action items, responsible parties, and deadlines.
- Attends confidential administrative and operational meetings and follows up with managers on implementation of decisions and assigned work.
- Coordinates scheduling and administrative priorities.
- Screens correspondence, calls, and visitors; responds to matters within delegated authority and refers significant or sensitive issues to leadership. Maintains organized, confidential executive records and correspondence.
- Accompanies or represents leadership at public and governmental meetings as assigned.
- Communicates approved positions, reports meeting outcomes, and coordinates follow-up with department managers, City agencies, and other stakeholders.
- Monitors assigned activities for adherence to applicable laws, regulations, program policies, and guidelines.
- Identifies concerns for leadership review and performs related duties consistent with the classification.

Minimum Qualifications
Education:Have a high school diploma or GED. A bachelor’s degree from an accredited college or university, preferred.
AND
Experience:Havethree (3) years of experience performing executive-level administrative support work.
OR
Equivalency Notes:Have an equivalent combination of education and experience.

Knowledge, Skills, and Abilities
Â
- Knowledge of the principles and practices of public administration.
- Ability to plan, organize, and coordinate administrative functions in a governmental organization.
- Ability to develop, implement, and interpret policies, procedures, and directives.
- Ability to research and compile administrative reports and documents and analyze planning reports and statistical information.
- Ability to handle confidential materials and sensitive situations with discretion, tact, and diplomacy.
- Ability to communicate effectively orally and in writing and maintain effective working relationships.
- Administrative ability to manage competing assignments, coordinate follow-up, and support executive priorities.
