Job Description:

DUTIES AND RESPONSIBILITIES

  • Manage and maintain executives’ calendars, including scheduling, prioritizing, and coordinating internal and external meetings.
  • Serve as a primary gatekeeper and liaison for the executive, ensuring requests, communications, and issues are routed appropriately and handled with discretion.
  • Prepare meeting agendas, presentation materials, briefing documents, and follow-up communications.
  • Track action items and key decisions from executive and leadership meetings; follow up with owners to support timely completion.
  • Coordinate travel, accommodations, itineraries, expense reports, and other logistics.
  • Organize and support leadership meetings, off-sites, town halls, board-related meetings, and company events as assigned.
  • Draft, edit, and format correspondence, reports, presentations, and other business communications.
  • Maintain confidential files, records, and information in accordance with company policies and sound business practices.
  • Anticipate the executive’s needs, identify potential scheduling or communication conflicts, and proactively recommend solutions.
  • Build effective working relationships across the organization and with external partners, customers, and vendors.
  • Assist with special projects, research, and cross-functional initiatives as needed.
  • Support budget administration, invoice processing, purchase requests, and related administrative activities, as assigned.
  • Perform other duties and responsibilities as assigned.

QUALIFICATIONS

  • Bachelor’s degree preferred; equivalent combination of education, training, and experience considered.
  • Five or more years of progressively responsible administrative support experience, including direct support of senior-level executives.
  • Demonstrated ability to manage complex calendars, travel, meetings, and confidential information.
  • Exceptional organizational, prioritization, and follow-through skills.
  • Strong written and verbal communication skills, with the ability to communicate professionally with executives, employees, board members, and external stakeholders.
  • Proven ability to exercise independent judgment, discretion, and sound decision-making.
  • High level of proficiency in Microsoft Office, including Outlook, Word, PowerPoint, Excel, and Teams.
  • Ability to work effectively in a fast-paced environment, manage competing priorities, and adapt to changing business needs.
  • Professional presence, strong interpersonal skills, and a service-oriented mindset. Minimum of 3 years of experience in related field

Base Pay Range:

70,000-80,000/yr

This range represents the low and high end of the anticipated base salary range for this position. The base salary will depend on a number of factors such as: qualifications, experience level, and skillset.
