Responsibilities

1.Network Sourcing & Onboarding

    • Regional Expansion: Proactively source, vet, and onboard specialized regional subcontractors (low-voltage/high-voltage electricians, security system integrators, automated gate specialists) across target regions in North America.
    • Vetting & Compliance: Validate trade licensing, safety records (OSHA/CCOHS), and corporate insurance requirements (General Liability, Workers’ Compensation / WCB/WSIB) prior to dispatch.
    • Pipeline Management: Build and maintain an active database of primary and secondary backup trade partners to eliminate service coverage gaps in key markets.

    2.Rate & Contract Negotiation

    • Rate Standardization: Lead commercial negotiations to establish standardized trade rate cards, trip fees, emergency dispatch multipliers, and material pricing.
    • SLA & Terms Alignment: Enforce strict Service Level Agreements (e.g., 2-hour emergency / 24-hour standard response times) and incorporate standard warranty terms into Master Subcontractor Agreements (MSAs).

    3.Margin & Quote Control

    • Scope & Estimate Review: Critically evaluate incoming subcontractor quotes to identify labor overestimates, material inflations, or scope mismatches.
    • Strategic Pricing & Markups: Apply appropriate markups and pricing strategies to maximize gross margins while delivering competitive proposals.
    • Quote Selection: Select and package the optimal vendor proposal for presentation to our end clients based on cost, lead time, and proven field reliability.

    4.Performance & Financial Reconciliation

    • Vendor Scorecards: Monitor trade performance against key operational metrics, including On-Time Arrival, First-Time Fix Rate, work quality, and SLA adherence.
    • Invoice Auditing: Audit and reconcile incoming subcontractor invoices against approved purchase orders, work orders, and agreed-upon rate cards before approving payment.
    • Dispute Escalation: Resolve billing discrepancies, issue chargebacks for missed SLAs or incomplete scopes, and uphold fair partner standards.

    Requirements

    • 2+ years in subcontractor or vendor management, procurement, or field service operations. Experience in security systems, electrical, low-voltage, or facilities maintenance is strongly preferred.
    • A track record of sourcing, vetting, and onboarding trade partners across several regions in the US and/or Canada.
    • Experience negotiating rate cards, Master Subcontractor Agreements, SLAs, and warranty terms.
    • Excellent financial skills: markups, gross margin, cost-plus pricing, and building quotes that win business while protecting margin.
    • Hands-on experience auditing invoices against POs, work orders, and rate cards, and handling chargebacks and billing disputes.
    • Comfortable working with data: building and maintaining vendor scorecards and KPIs (On-Time Arrival, First-Time Fix Rate, SLA adherence).
    • Advanced Excel or Google Sheets (pivot tables, lookups, cost models).
    • Experience with field service, CMMS, or vendor management platforms (e.g., ServiceTitan, ServiceChannel, Salesforce Field Service) and accounting/ERP systems (e.g., QuickBooks, NetSuite).
    • Clear, confident communicator who can hold partners accountable while keeping relationships strong.
    • Highly organized and able to handle a high volume of vendors, quotes, and invoices across time zones.
    • Available for occasional after-hours escalations tied to emergency dispatch.
    • Bachelor’s degree in Supply Chain, Business, Construction Management, or a related field, or equivalent work experience.
