Zero Overview
Zero is a creative studio founded in NYC. Our intention is to create an environment where multidisciplinary teams can solve problems for progressive and contemporary brands. We aim to constantly re-evaluate what it’s like to work with a studio and provide a high degree of value and service to our clients and our team.
Position Overview
The Studio Coordinator is an entry-level, hands-on role focused primarily on the daily care, presentation, and hospitality of our Brooklyn Studio. This person helps create an environment where employees and guests feel welcomed, supported, and able to do their best work. This is an on-site, full-time position.
The role also provides flexible support to the Operations team. Priorities can change quickly, so success requires a service-minded attitude, close attention to detail, and a willingness to take on the practical tasks - large or small - that keep the studio moving.
Roles & Responsibilities
The following responsibilities illustrate the role and may evolve as the needs of the studio change.
Studio Readiness and Ambiance
- Open and prepare the Brooklyn studio for the day, including lighting, music, temperature, common areas, kitchens, meeting rooms, and other details that shape the studio experience.
- Maintain a clean, comfortable, orderly environment throughout the day and reset shared spaces as needed.
- Track and replenish snacks, beverages, office supplies, and other consumables within established guidelines.
- Notice small issues early and either resolve them directly or route them to the appropriate person.
Hospitality and Team Experience
- Greet visitors, clients, contractors, and vendors and help them navigate the studio.
- Support team lunches, meetings, cultural programming, client visits, and studio events, including set up and breakdown.
- Prepare the space for external rentals or special uses and help return it to normal operating condition afterward.
Facilities and Logistics
- Coordinate routine repairs, cleaning, and other facility services with guidance from the Executive Director of Operations.
- Receive, sort, ship, and track mail, client products, inter-office packages, and merchandise.
- Serve as a day-to-day contact for the landlord, superintendent, cleaners, and other building vendors when assigned.
- Complete local errands and hands-on operational tasks that keep the studio and team moving.
Operations Support
- Provide flexible administrative and logistical support to the Operations team as priorities shift.
- Assist with the practical details of employee onboarding and offboarding, such as workspace setup, supplies, access coordination, and equipment handoff.
- Help answer or route general studio questions and shared inquiries.
- Maintain simple checklists, inventories, schedules, and other recurring records.
Skills & Competencies
- Early-career experience in hospitality, office coordination, retail, events, administrative support, or another service-oriented environment is helpful; direct agency experience is not required.
- Highly organized, observant, dependable, and comfortable managing multiple small priorities.
- Warm and professional communication with employees, clients, guests, and vendors.
- A practical, solutions-oriented mindset and willingness to pitch in wherever needed.
- Comfort with everyday workplace tools such as Google Workspace, Slack, calendars, and Notion, or the ability to learn them quickly.
- Able to work independently within clear direction and ask thoughtful questions when priorities or authority are unclear.
Experience
This is an entry-level position. Experience in the hospitality industry or event management is a plus.
How Success is Measured
- The studio is consistently ready, welcoming, organized, and equipped for the workday.
- Requests and issues are handled promptly, communicated clearly, and followed through to completion.
- The team can rely on accurate information, thoughtful service, and steady operational support.
Working Relationships
This role reports to the Executive Director of Operations. Because the position supports the daily needs of the Brooklyn studio, the Studio Coordinator will work closely with and receive day-to-day direction from the Brooklyn Executive Team.
This is a fully onsite position based in our Brooklyn studio and requires regular in-person attendance five days per week. The responsibilities of the role cannot generally be performed remotely. Standard company policies regarding approved time off, illness, emergencies, and workplace accommodations continue to apply.
