Who Thrives at Lodestar

· Trustworthy, honest, dependable, and accountable without constant supervision.

· Comfortable working independently while communicating proactively with a fully remote team.

· Highly organized, responsive, and committed to meeting deadlines.

· Compassionate with injured clients while maintaining sound professional judgment.

· Curious, adaptable, and willing to learn specialized law, firm systems, and approved workflows.

· Committed to confidentiality, accuracy, ethical practice, and continuous improvement.

Position Overview

The Settlement Clerk will own the administrative and procedural steps required to move negotiated DBA and Longshore settlements from agreement through approval, payment follow-up, and final file closure. This role requires exceptional attention to detail, disciplined follow-through, accurate documentation, and the ability to coordinate efficiently with attorneys, clients, opposing counsel, carriers, and other parties.

The right person takes ownership of every closing detail, anticipates missing information, keeps all parties informed, and ensures settlement funds and closing documents are tracked precisely. This position supports attorneys but is expected to independently manage an active settlement pipeline within established firm procedures and promptly escalate legal or substantive issues.

Core Responsibilities

· Maintain a complete, current settlement pipeline and know the status, next step, responsible party, and deadline for each matter.

· Coordinate settlement closing work from agreement through approval, funding, disbursement confirmation, and administrative file closure.

· Prepare, proofread, organize, and route settlement documents, releases, affidavits, authorizations, payment forms, and related correspondence using firm-approved templates and procedures.

· Verify names, addresses, claim numbers, dates, settlement terms, payment allocations, attorney-fee information, and required signatures against the file and attorney instructions.

· Obtain and track signatures, notarizations, supporting documents, payment information, and other outstanding closing requirements.

· Coordinate professionally with clients, attorneys, opposing counsel, employers, carriers, claims professionals, medical providers, and government agencies as appropriate.

· Calendar and monitor approval, submission, payment, follow-up, and file-closing deadlines so no settlement stalls or required action is missed.

· Prepare settlement packages for attorney review and submission, confirm completeness, and save final executed and approved documents in the correct electronic file locations.

· Track settlement payments and attorney-fee payments, follow up on delays or discrepancies, and provide timely status updates to the responsible attorney and client.

· Complete firm closing checklists, update case-management fields and notes, resolve outstanding administrative items, and ensure files are ready for final attorney review and closure.

· Identify inconsistent terms, missing documents, incorrect calculations, unclear instructions, or unusual issues and escalate them promptly rather than making legal judgments.

· Follow all firm procedures for confidentiality, document management, cybersecurity, technology, and approved uses of AI and automation.

Success in This Role

· Settlements move steadily from agreement to final closure without avoidable delays.

· Documents are complete, accurate, consistently named, and filed in the correct locations.

· Deadlines, signatures, approvals, payments, and follow-ups are tracked to completion.

· Attorneys receive concise status updates and can rely on the settlement pipeline as accurate.

· Clients receive clear, professional communication about administrative next steps and outstanding requirements.

· Discrepancies and risks are caught before documents are sent or matters are closed.

· Legal questions and unusual issues are escalated promptly to the responsible attorney.

· The employee demonstrates ownership, precision, responsiveness, and continuous improvement.

Required Qualifications

· Prior legal administrative, settlement, claims, case-closing, or comparable detail-intensive professional experience.

· Demonstrated ability to manage a high-volume workflow with multiple deadlines and dependencies.

· Exceptional attention to detail, proofreading ability, and commitment to accurate data entry and documentation.

· Strong organizational, follow-up, time-management, written, and verbal communication skills.

· Ability to follow standardized procedures while recognizing exceptions or inconsistencies that require review.

· Professional judgment, discretion, and compassion when communicating with injured clients.

· Ability to work independently, remain responsive, and communicate proactively in a fully remote environment.

· Strong computer skills and the ability to learn case-management, document, e-signature, and workflow systems quickly.

· Integrity, reliability, accountability, and a strong commitment to client confidentiality.

Preferred Qualifications

· Experience closing settlements in a law firm, workers’ compensation practice, insurance or claims environment, or claimant-side practice.

· Familiarity with the Defense Base Act, Longshore and Harbor Workers’ Compensation Act, federal workers’ compensation, or related administrative claims.

· Experience reviewing settlement documents, tracking signatures and payments, and completing post-settlement file-closing procedures.

· Experience with electronic case-management systems, document-management systems, e-signature platforms, spreadsheets, and remote collaboration tools.

· Experience supporting a fully remote legal team.

Benefits Highlights

· Fully remote work with no office requirements.

· Generous paid time off grows with tenure.

· Unused PTO may be carried forward when permitted.

· Twelve paid holidays support meaningful personal time.

· Approved professional development expenses receive firm funding.

Benefits are subject to eligibility, applicable law, and the current handbook and plan documents.

Compensation and Position Details

· Entry-level hourly pay of $18–$22 per hour, based on experience and qualifications.

· Full-time, fully remote position.

· Employees are expected to be available during standard business hours from 9:00 a.m. to 5:00 p.m. Central Time, Monday through Friday.
