Position Overview: 

Employee in this position is responsible for assisting in various capacities as assigned by the Regional Service Director.  Assignments will consist of management of the day-to-day activities and programs for facilities, records, and special projects.    Records duties will be coordinated with the QAI Coordinator through the Regional Service Director.  This position is under direct supervision of the Regional Service Director.

 

Essential Duties & Responsibilities

Administration:

  • Assists with audits when requested.
  • Assists with monitoring/observations in all facilities to ensure regulations are being followed. (ICF)
  • Assists QP’s with various tasks as needed, such as gathering information for the person-centered plan, crisis plans, behavioral information, and consents, etc.
  • Ensures that all emergency drills/safety inspections are completed timely in coordination with the facility safety officers and turned in to QAI; and any problems are reported immediately to the Regional Service Director.  (Community Services)
  • Assists, as needed, with scheduling for all facilities. (ICF)   
  • Obtains approval through a purchase order and submits invoices for expenditures to accounts payable within timeframe required. (ICF
  • Assists in the transition to an electronic health record (EHR) for the agency. 
  • Trains and assists staff/facilities with implementation of Therap EHR modules, including initial & ongoing service records related training and records set up & closure.
  • Conducts medication monitoring duties including medication reconciliation audits as needed. (Community Services)
  • Ensures staff continue to follow records processes after training has been provided.
  • Completes & assists with ongoing scanning/uploading of documentation to keep service records current.
  • Completes service record related reports as needed to ensure records are up-to-date.
  • Performs quantitative service records audits to ensure completion of admissions, transfers and discharges of service records.
  • Assists with tracking, training, implementing, & maintaining remote monitoring devices of individuals served including both data and technology (Community Services).
  • Assist with medical appointments as needed.

Supervision: 

  • No direct supervision of direct support staff.

Regulatory:

  • Ensures that all medication administration policies are followed.
  • Monitors compliance with all licensure and regulatory standards and follow-up on all programmatic recommendations and plans correction.   
  • Has a working knowledge and adheres to all ComServ, Inc. Policies and Procedures.
  • Adheres to all CARF Standards.

Documentation:

  • Prepares and submits required documentation for reimbursement of work-related mileage, use of PTO, and any other required reports accurately and timely. 
  • Enters hours worked in PayCom accurately and promptly daily.
  • Documents program specific information per rules and regulations of the services provided in the facility. (ICF)

Clinical:

  • Provides on call services through rotation with other staff and will provide on-call coverage to staff working in the facility 24 /7.  (ICF)
  • When there are staffing shortages, will be required to work shifts in various facilities.
  • Acts as a member of the Interdisciplinary Team if applicable to the home/unit. (ICF)
  • Attends, as needed, all interdisciplinary team meetings as scheduled.
  • Attends all Clinical Team meetings as directed by supervisor.
  • Monitors facilities periodically (AM, PM and weekends) while individuals are present.

Direct Support:

  • Provides direct support as needed or when deemed necessary by Regional Service Director.

Other:

  • Employee in this position must be flexible with schedule and make changes as requested or required by position responsibilities.
  • Participates in committees as assigned by Regional Service Director.
  • Completes and submits timely, accurate and complete documentation necessary for processing.
  • Attends all organization training required for position.  Attends all outside training and education as recommended and approved by the Regional Service Director.
  • Participates in company functions as directed by the Regional Service Director.

Ability to work well with others, communicate clearly, verbally and in writing, possess leadership/supervisory and management ability.  Ability to train and supervise staff.  Ability to coordinate and instruct staff.  Ability to establish rapport and relate to the individuals served, their families, community agencies, and groups, and a variety of other persons they might have contact with related to service delivery.  A valid NC driver’s license and a safe driving record acceptable under ComServ, Inc. liability carrier is required.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Must be able to operate a variety of automated office equipment including a computer to communicate via e-mail, copier, fax machine, wheelchairs, lifts where applicable, and other resident related equipment. Must be able to exert up to fifty pounds of force occasionally and/or frequently to lift, carry, push, pull, or otherwise move objects.  Physical demands are in excess of sedentary work; position requires walking, standing, reaching, stooping, etc. long periods of time.  Must be able to lift and/or carry weights of up to one hundred fifty pounds with assistance.

Physical Demands/Conditions:

Qualifications

Minimum Education & Experience Requirements:

Graduation from High School or GED, plus a minimum of three years of experience working in the field of intellectual/developmental disabilities. Graduation from high school or GED with a minimum of three years of experience in health information technology or related health care records.
