Job Description
The Midtown New York Ops Coordinator is responsible for supporting the Ops Director/Manager, City Lead and Regional Lead - Midtown New York City in providing overall coordination for the midtown market. The Director and City Lead support 500+ employees across 100+ sites with operational support.Â
The Ops Coordinator will support and enable the Ops Director/Manager and City Lead in ensuring and monitoring the smooth function of the region to achieve planned growth and maximize revenue goals.
Principal Responsibilities:
- Promote and foster strong, positive relationships with all on-site staff members during transition and thereafter, focusing on all aspects of the on-boarding process
- Assist on-site Property Management teams during transition including utility transfer, tenant notifications, vendor notifications, order business cards, order cell phones
- Prepare new on-site Property Management offices with IT infrastructure including ordering proper equipment, setting up Site Assessment and Day 1 installation
- Troubleshoot problems with IT for ordering and setting up hardware/software, Teams application
- Navigate on-site Property Management teams during transition or after with matters of payroll, time sheets, Workday and other applications
- Prepare and update new hire packets for the local market
- Track progress and follow up on corporate operations initiatives with on-site personnel to completion
- Monitor areas of risk on compliance scorecard and follow up with sites in remaining compliant
- Support properties, as needed, in processing Accounts Payable including coding invoices and inputting into NEXUS, assist with ServiceEdge, assist with Workday matters of Learning, Time Tracking, Payroll Billings and Expense Reports
- Assists City Lead on new business pipeline processing, tracking in established database
- Assists in event planning, scheduling and coordinating meetings for development or disseminating corporate communications (i.e. Lunch N’ Learns, vendor meetings) supporting City Lead and Operations Director/Manager
- Assists in the smooth operation and success of the summer internship program in partnership with HR (L&D, HRBP)
- Partner with all sites to maintain a system of mapping managed sites, gathering and tracking updated data – update mapping site
- Maintain updated Outlook contact/distribution lists for all administrative/engineering personnel in marketÂ
- Other duties as assigned

Knowledge and Experience:
- Bachelor’s degree highly desirable
- Demonstrated organizational capability
- Excellent Microsoft office skills
- Detail-oriented with a solid ability to communicate clearly
- Proven ability to multi-task
- Capability of handling large data (Excel, pivot tables, VLookup)

The company will not pay less than minimum wage for this role.
