About the firm
Our client is a large, growing, full-service law firm headquartered in Texas, with a collegial, team-oriented culture. Its lawyers advise clients across corporate, litigation, finance, real estate, intellectual property, and many other practice areas.
About the role
As Senior New Business Intake Analyst, you'll own the most complex new client and matter requests and serve as a go-to operational resource for a high-volume intake team. The focus goes beyond clearing individual requests: you'll study how intake actually flows, remove bottlenecks, and help the firm get more out of its intake platform. You'll report to the intake manager and work closely with attorneys, risk management, and accounting.
What you'll do
- Handle complex new client and matter requests, including escalations that need extra analysis or coordination with attorneys and staff
- Monitor intake workflows so requests close on time, and spot recurring delays, trends, and data gaps
- Recommend process and system improvements and help put them in place, including workflow automation and testing of enhancements
- Keep client and matter data accurate and consistent, including records for attorneys leaving the firm
- Build and maintain intake procedures, standards, and reference guides
- Help onboard and train intake team members and support end users on the system
- Work across accounting, risk management, and practice teams to keep requests moving
- 4+ years in intake, matter management, workflow administration, or a related legal, financial, or professional services operations role
- Hands-on law firm new business intake experience (opening new clients and matters)
- Experience with automated workflow tools and enterprise business systems
- A track record of handling complex requests across many stakeholders, improving processes, supporting system enhancements or testing, and guiding or training users
- An operations mindset: you look for the root cause of delays and fix the process, not just the request
- Clear written and verbal communication, sharp attention to detail, and steady performance under deadlines
- Intermediate Excel, Word, and Outlook skills and sound judgment with confidential information
- Intapp Intake experience, ideally including how a new client and matter moves through it end to end
- Conflicts clearance experience
- Implementation or integration exposure, such as connecting intake with Elite 3E or other financial systems
- Data quality, KPI, or reporting buildout experience
- Bachelor's degree, PMP, or Six Sigma certification
