We are looking for a Full-Time Sales & Move-In Coordinator to join our dynamic Sales team. This position is scheduledMonday through Friday, 9:00am to 5:00pm., with occasional evening hours required for special events and community programs.

TheSales & Move-In Coordinator plays a vital role in creating a seamless experience for prospective and incoming residents. This position is responsible for coordinating all aspects of the move-in process, supporting sales and marketing initiatives, and providing exceptional customer service to residents, families, and prospective community members.

 

What You'll Do as our Sales and Move-In Coordinator: 

  •  Meet with depositors to arrange the selection of finishes for the residence and coordinate with the Facilities team to ensure efficient and timely completion of the residence for move-in.
  •  Coordinates all aspects of the move-in process, including application processing, approvals, paperwork, and move-in logistics such as key distribution and resident orientation.
  •  Manage incoming calls, telephone messaging, and correspondence for sales team.
  •  Distribute leads to counselors and maintains databases, move-in, occupancy, and inventory lists.
  • Provide hospitality for prospective residents and visitors.
  •  Assist residents and staff with inquiries and referrals to related services (estate sales, real estate, movers).
  •  Maintain accurate, detailed activity records in the CRM, including inventory, move ins, move-outs, and internal transfers.
  •  Participate in planning and coordinating marketing efforts, including lead base mailing list and list management and coordinating details of special events and educational seminars.
  •  Assist in coordinating the Resident Ambassador Program to support marketing initiatives. 
  •  Assist with preparing sales and marketing reports and assist with budget tracking, payroll paperwork, and accounts payable.
  •  Assemble sales collateral and materials needed for presentations and events; maintain sales material inventory and handle reprints, coordinating with LSMMD Marketing when significant updates need to be made.
  •  Maintain office operations, including supply inventory, equipment, and facility services.
  •  Collaborate with Facilities and other departments to ensure timely and smooth apartment turnovers, confirming readiness for occupancy and timely completion of move-outs, renovations, and custom upgrades.
  •  Perform additional duties as assigned.

Qualifications

Why We Want You On Our Team – You’ll Bring:

Education | Experience

  • High school diploma or equivalent, college coursework preferred.
  • 2+ years of related administrative experience in a sales office or similar environment.
  • Aline CRM experience preferred.

  • Demonstrated discretion, professionalism, and sound judgment in handling sensitive and confidential matters.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to interact effectively and tactfully with individuals at all levels, including residents, staff, families, external vendors/authorities, and the public.
  •  Strong attention to detail in writing, proofreading, managing priorities, and meeting deadlines in a fast-paced environment.
  •  Proven ability to work both independently and collaboratively within a team environment, demonstrating a cooperative, respectful, and compassionate approach to colleagues and resident care.
  •  Skilled in the use of standard office equipment and technology.
  •  Maintains professionalism, composure, and a positive attitude when managing challenging situations.
  •  Physically able to move throughout the workday and lift items up to 10 pounds using safe handling practices.
  •  May be necessary to assist with resident evacuation during emergency situations.
  •  Complies with organizational health and safety requirements, including vaccination policies or valid exemptions.
