Revenue & Operations Project Manager (Law Firm /Aderant Industry a must)
Location : Houston, Texas (Hybrid) and Washington, DC - On-site - 3 days a week
Salary : 125 -145K - Houston TX
Salary :  130-160K - Washington DC  

Must have the following :
  • Minimum 5 years of law firm, professional services, client administration, billing, revenue operations, or related operational experience.
  • Strong hands-on knowledge of law firm client administration, including client and matter intake, billing, e-billing, collections, rates, pricing, conflicts, KYC, engagement letters, and Outside Counsel Guidelines.
  • Bachelor's degree required.
  • Experience serving as a trusted point of contact for partners, senior stakeholders, clients, accounting teams, and other cross-functional groups.
  • Strong project management, analytical, organizational, and problem-solving skills with the ability to drive complex processes through completion.
  • Experience reviewing billing arrangements, alternative fee arrangements, invoice issues, write-offs, accounts receivable, collections, and rate approvals.
  • Ability to synthesize complex financial and operational information into concise, actionable updates for partners and stakeholders.
  • Strong Excel and Outlook skills; experience with legal-industry platforms such as Aderant Expert and iManage is highly valuable.
  • Excellent written and verbal communication skills with a proactive, collaborative, relationship-focused approach.
  • High attention to detail, discretion, professionalism, and comfort handling confidential information.
  • Ability to manage competing priorities and deadlines in a fast-paced, partner- and client-facing environment.

Responsibilities :
  • Serve as the primary operational and revenue-management contact for assigned partners, practice groups, clients, client administration teams, and accounting stakeholders.
  • Build trusted relationships with partners and clients while maintaining clear communication and proactively moving outstanding matters toward resolution.
  • Manage the client and matter lifecycle, including new business intake, matter openings, billing arrangements, rates, pricing, engagement letters, KYC, conflicts, and Outside Counsel Guidelines.
  • Coordinate across Client Accounting, Conflicts, legal counsel, KYC, billing, collections, pricing, and other internal teams to keep onboarding and administrative processes moving.
  • Prepare clear summaries, reporting, and analysis covering client onboarding, billing activity, collections, and financial performance.
  • Facilitate partner and client billing by preparing, reviewing, and editing invoices for accuracy, compliance, and alignment with client requirements.
  • Partner with e-billing teams to coordinate electronic invoice submission, monitor invoice status, and resolve rejections, deductions, and billing discrepancies.
  • Analyze invoice issues and coordinate charge reallocations, write-offs, corrections, and other adjustments necessary to support timely payment.
  • Work with rate and pricing teams to coordinate timekeeper submissions, rate approvals, special billing arrangements, and alternative fee arrangements.
  • Ensure rates, pricing structures, and billing practices remain consistent with client agreements and applicable Outside Counsel Guidelines.
  • Monitor accounts receivable and aged invoices, coordinate collection strategies, and partner with stakeholders to accelerate payments and resolve outstanding balances.
  • Track client collection commitments throughout the year and help drive targeted collection activity in support of financial objectives.
  • Coordinate engagement-letter requests, client audit responses, supporting documentation, and communication among clients, partners, and internal teams.
  • Track Outside Counsel Guidelines, communicate requirements to appropriate stakeholders, and help ensure ongoing compliance.
  • Identify process gaps and implement improvements that increase efficiency, scalability, consistency, and client service.
  • Develop and share client-operations best practices across the team and participate in strategic departmental initiatives.
  • Protect confidential information and ensure work remains consistent with organizational policies and procedures.

Requirements :
  • Bachelor's degree required.
  • Minimum 5 years of relevant experience within a law firm, professional services organization, client administration function, billing organization, revenue operations team, or closely related environment.
  • Demonstrated knowledge of legal-industry billing and client administration processes is strongly preferred.
  • Experience with client intake, matter intake, billing, e-billing, collections, rates, pricing, conflicts, KYC, engagement letters, and Outside Counsel Guidelines is highly valuable.
  • Proven ability to manage several projects and shifting priorities while consistently meeting deadlines.
  • Strong analytical skills with the ability to identify issues, break down complex problems, and coordinate solutions across multiple stakeholders.
  • Demonstrated success building credibility with partners, executives, clients, finance professionals, and operational teams.
  • Excellent interpersonal, written, and verbal communication skills.
  • Ability to translate complex financial and administrative information into concise recommendations and actionable next steps.
  • Strong proficiency with Microsoft Outlook and Excel.
  • Experience with Aderant Expert and iManage is preferred.
  • Advanced degree or relevant professional certification is preferred, not required.
  • Proactive, organized, collaborative, approachable, and comfortable influencing stakeholders without direct authority.
  • Ability to work independently while remaining highly effective in a cross-functional team environment.
  • Flexibility to adjust working hours when necessary to support operating and business needs.
