Role Overview
As a Research Grant/Contract Management II, you will monitor the financial status of multiple grants, ensuring compliance with accounting procedures and accurately allocating funds. You'll collaborate with Principal Investigators (PIs) and cross-functional teams to resolve discrepancies and assist in preparing research grant applications, focusing on budget adherence. Your work is critical to advancing our research mission and maintaining financial integrity.
Grant Proposal Development and Pre-Award Administration
- Collaborate with Principal Investigators to develop and prepare grant proposals and funding applications for internal and external sponsors.
- Prepare detailed budgets and budget justifications in compliance with sponsor and institutional requirements.
- Gather and incorporate salary, fringe benefit, equipment, subcontract, and other cost information from relevant departments.
- Review funding applications to ensure accuracy, completeness, and compliance before submission.
- Complete and coordinate all required institutional pre-award documentation and approvals.
- Assist with documenting and managing cost-sharing commitments and funding allocations.
Post-Award Financial Management
- Manage the financial administration of assigned grants and contracts throughout the award lifecycle.
- Monitor revenues, expenditures, encumbrances, and available balances to ensure appropriate utilization of grant funds.
- Analyze monthly financial reports and identify potential budgetary issues, spending trends, or compliance concerns.
- Work closely with Principal Investigators and institutional accounting teams to reconcile accounts and resolve financial discrepancies.
- Ensure expenditures are allowable, allocable, reasonable, and compliant with sponsor and institutional guidelines.
- Provide ongoing budget projections, forecasts, and financial reports to support strategic planning and decision-making.
- Monitor project spending against approved budgets and recommend adjustments as needed.
Personnel and Effort Management
- Coordinate salary distributions and funding allocations across multiple grants and funding sources.
- Review and process effort reporting and salary certifications to ensure accuracy and compliance.
- Evaluate personnel commitments and future funding availability to support long-term staffing and effort planning.
- Maintain current knowledge of institutional Human Resources policies affecting grant-funded employees.
Compliance and Contract Administration
- Serve as a liaison between Principal Investigators, Research Administration, Finance, Fund Accounting, and sponsoring agencies.
- Support the administration of subawards, consultant agreements, and service contracts associated with sponsored projects.
- Monitor contractual obligations and financial reporting requirements to ensure compliance.
- Maintain knowledge of sponsor regulations, institutional policies, and funding agency requirements.
- Assist with audits, reporting requirements, and sponsor inquiries as necessary.
- Promote compliance with institutional research policies and standards of conduct.
Financial Analysis and Strategic Support
- Conduct financial analyses to identify trends, funding utilization patterns, and potential risks.
- Provide recommendations to support long-term financial planning and sustainability of research programs.
- Create reports and summaries to assist departmental leadership and investigators with resource planning.
- Support continuous improvement efforts related to grant management processes, reporting, and compliance activities.
Requirements
- Bachelor's degree in Health Sciences, Public Health, Business Administration, Finance, Accounting, or a related field.
- Minimum three (3) years of experience in grant administration, contract management, research administration, project management, finance, budgeting, or a related field.
- Experience with pre-award and/or post-award grant management activities.
- Strong financial analysis, budgeting, forecasting, and problem-solving skills.
- Excellent attention to detail and organizational abilities.
- Effective interpersonal, verbal, and written communication skills.
- Ability to manage multiple projects and deadlines while maintaining a high level of accuracy.
- Proficiency with financial systems, spreadsheet applications, and reporting tools.
Preferred Qualifications
- Experience supporting federally funded research grants.
- Knowledge of sponsored research administration and grant compliance requirements.
- Experience working with academic medical centers, healthcare organizations, or research institutions.
- Familiarity with effort reporting, cost-sharing, subaward management, and financial reconciliation processes.
- Experience interpreting sponsor guidelines and institutional research policies.
