MUST:
The Corporate Receptionist must have experience:
Ability to operate a PC-based telephone system and standard office equipment
High School Diploma or GED required
Working knowledge of Microsoft Word software application
Ability to take direction
Excellent handwriting or printing ability
Excellent verbal and written communication skills
DUTIES:
Answers all calls to the main number within three rings, identify & connect to the appropriate person, taking clear,
concise messages when necessary
Greet and assist visitors in a professional manner
Assists lead receptionist or Facilities Administrative Manager in training new associates on the switchboard, maintaining
a relief schedule, coordinating coverage, and notifying the appropriate person when assistance is needed
Coordinates courier service pick up and maintains a log of calls, indicating sender and delivery information, following up
to ensure a timely pickup
Contributes to the achievement of established department goals and objectives and adheres to department policies,
procedures, quality standards, and safety standards
Complies with governmental and accreditation regulations
Maintains an updated telephone directory for internal distribution as well as on the phone system
Assists visitors with access and wayfinding throughout the facility
Ensures associates are following hoteling processes and aids in reservations where needed
Maintains kitchen and basic office supplies at the established levels
Maintains conference room upkeep with weekly rounding
Reports supply needs or conference room issues to Facilities Administrative Manager
Places equipment service calls as needed in coordination with the Building Manager, maintains a log of such calls
identifies location and nature of the problem and ensures service is completed in a timely fashion
Receive, sort and distribute incoming mail; prepare all outgoing US and express mail for pick up
Report building-related problems such as lights out, heating, etc., to the Building Manager; logging such reports and
following up to ensure these problems are addressed
Participates in life safety drills and preparedness including evacuation training and maintenance of first aid/emergency
supplies
Performs other duties as assigned
