Position Overview

We are seeking an organised and proactive Receptionist & Office Administrator to join our collaborative Administration Team. Based in our Kilcullen office and reporting to the Administration Manager, you will be the first point of contact for visitors and callers while providing day-to-day administrative and office support. This is a full-time, office-based maternity cover position offered on a 12-month fixed-term contract.

 

Key Responsibilities

  • Welcome visitors, manage incoming calls and enquiries, and act as a professional first point of contact for the Kilcullen office.
  • Manage shared mailboxes, correspondence, post, deliveries and couriers, ensuring queries are directed and followed up promptly and confidentially.
  • Maintain a safe, organised and presentable reception area, meeting rooms, hot desks and shared office facilities.
  • Coordinate meeting logistics, including room bookings, catering and travel arrangements.
  • Monitor stationery, kitchen and welfare supplies, liaise on cleaning or maintenance issues, and support the smooth day-to-day running of the office.
  • Provide administrative support, including document preparation, printing, binding, filing and the collation and delivery of tender documents.
  • Create purchase orders and accurately reconcile company credit card and petty cash transactions in line with company procedures.
  • Support colleagues across the wider global Administration Team and assist with employee, client and management queries.
  • Travel to the Dublin office as required to assist with office and meeting management.
  • Support staff events, identify opportunities to improve administrative processes, and undertake other reasonable duties aligned with the role.

 

What You Will Bring

  • Previous experience in a reception, office administration or customer-facing role; 2–3 years’ experience is desirable.
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, PowerPoint and Teams.
  • Excellent communication, organisation and time-management skills, with the ability to prioritise in a busy environment.
  • A professional, helpful and discreet approach when dealing with visitors, colleagues and confidential information.
  • Availability to work in the office Monday–Thursday, 8.30 am–5.00 pm, and Friday, 8.30 am–4.00 pm.
  • A full Irish/EU driving licence and access to your own vehicle.
  • Experience using AEG is desirable but not essential.
