Purchasing Coordinator - Colby, WIPosition Summary
The Purchasing Coordinator is responsible for supporting purchasing activities and ensuring ingredients and products are ordered from approved suppliers to meet production needs. This role works closely with internal teams, vendors, and suppliers to support inventory flow, resolve issues, and contribute to cost-effective purchasing practices.
Key Responsibilities
- Purchase ingredients, raw materials, and products from approved suppliers to support scheduled production.
- Monitor production schedules and ensure materials arrive on time to prevent shortages, delays, or overstock.
- Maintain accurate purchase orders, including quantities, pricing, delivery dates, and supplier information.
- Monitor raw material inventory levels using ERP/MRP systems and purchasing tools.
- Maintain purchasing attributes such as safety stock, lead times, reorder points, and purchasing recommendations. Identify opportunities for adjustments and communicate those with the supervisor.
- Daily review for purchasing and inventory reports, including but not limited to the General Item Status Report, Reorder Report, Negative Item Report, and MRP outputs.
- Any discrepancies or issues should be independently researched and assessed prior to escalating to additional stakeholders.
- Communicate professionally with internal departments, vendors, suppliers, and other stakeholders regarding purchasing needs, order status, shortages, supply constraints, and issue resolution.
- Collaborate with Customer Service, Inventory, Receiving, Strategic Procurement, Logistics, Planning, and other teams to support purchasing, inventory flow, and production requirements.
- Support company profitability through cost-effective purchasing, supplier collaboration, cost reduction, cost avoidance, and value-added procurement practices.
- Maintain a strong understanding of manufacturing capabilities, business processes, supply chain operations, and the raw materials used in production.
- Complete other duties and projects as assigned by management.
- High school diploma or equivalent required.
- Associate degree or bachelor’s degree preferred.
- Experience in food, ingredient, manufacturing, or distribution purchasing preferred.
- Experience using ERP/MRP systems or purchasing tools preferred.
- Strong communication, analytical, problem-solving, and decision-making skills.
- Ability to build and maintain effective working relationships with internal teams, suppliers, vendors, and stakeholders.
- Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
- Follow all Good Manufacturing Practices (GMPs).
- Follow all Safe Quality Food (SQF) guidelines.
- Maintain awareness of Hazard Analysis and Critical Control Points (HACCP) and its importance.
- Ensure all products and ingredients are purchased only from approved suppliers.
- Immediately report food safety problems or concerns to a person with authority to initiate action, as indicated on the organizational chart.
- Follow applicable OSHA regulations related to job tasks.
- Remain aware of surroundings, including forklift traffic and trip hazards such as pallets or cords when entering production areas.
- Wear required Personal Protective Equipment (PPE) when entering production areas.
- Participate in monthly safety engagement activities.

Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours.
