TheProject Refresh Lead is responsible for coordinating and overseeing the planning, scheduling, quality assurance, and execution support activities associated with facility refresh projects. This position serves as a primary coordination point between project teams, site personnel, and Government Points of Contact (POCs) to ensure all required activities are properly planned, documented, and completed.
The Project Refresh Lead ensures site visits are coordinated in advance, survey documentation is reviewed for accuracy and completeness, project schedules are developed and approved, and project status is consistently communicated to stakeholders. This role also supports issue resolution, maintains accurate project records, and prepares site-specific acceptance documentation to support successful project completion.

Duties and Responsibilities:
Site Coordination and Facility Access
Coordinate facility access requirements with site personnel and Government POCs at least two weeks before each scheduled site visit.
Confirm site availability, access approvals, and any special requirements necessary to support planned activities.
Communicate site visit schedules and coordination requirements to all applicable project stakeholders.
Identify potential access issues or scheduling conflicts and coordinate resolution in advance of site visits.
Quality Assurance (QA) and Survey Documentation
Review completed site survey templates for accuracy, completeness, and compliance with established project requirements.
Coordinate corrections or clarification of incomplete or inaccurate survey information with the appropriate project personnel.
Ensure completed survey documentation is properly organized and submitted to the Government POC for review.
Maintain survey records for each site in the designated Government shared folder.
Project Scheduling and Planning
Develop and maintain site-specific Decommissioning and Installation schedules.
Coordinate with project personnel and site stakeholders to establish realistic timelines and identify scheduling dependencies.
Submit proposed schedules to the Government for review and approval.
Track approved schedules and communicate changes, delays, or potential impacts to project stakeholders.
Coordinate schedule adjustments as necessary to support project execution and minimize disruptions to facility operations.
Project Status Meetings and Reporting
Plan and conduct weekly project status meetings with applicable project stakeholders.
Prepare meeting agendas, document key discussions, track action items, and communicate meeting outcomes.
Provide updates on site readiness, scheduling, survey completion, project progress, outstanding issues, and upcoming activities.
Maintain accurate and current project records within the Government-designated shared folder and project dashboard.
Ensure project documentation and status information are updated regularly and available to authorized stakeholders.
Issue Resolution and Escalation
Identify, document, and track project issues that may affect site readiness, scheduling, quality, or successful project execution.
Coordinate with the appropriate personnel to resolve issues promptly.
Monitor outstanding action items and follow up with responsible parties to ensure resolution.
Escalate unresolved issues, schedule risks, and potential project impacts to project leadership and the Government POC as appropriate.
Maintain visibility of issues through resolution and communicate relevant updates to stakeholders.
Site Acceptance Documentation
Prepare and organize site-specific acceptance documentation upon completion of required project activities.
Verify that applicable project deliverables and supporting documentation are complete and accurately reflect the work performed.
Coordinate with project personnel to obtain any outstanding information or documentation required for site acceptance.
Submit completed acceptance packages to the appropriate Government POC for review and acceptance.
Maintain records of submitted acceptance documentation and associated approvals.
Key Performance Expectations
The Project Refresh Lead is expected to:
Ensure facility access coordination is initiated at least two weeks before each site visit.
Submit accurate and complete survey documentation to the Government POC.
Develop site-specific Decommissioning and Installation schedules and obtain Government approval.
Conduct weekly status meetings and maintain accurate project reporting.
Keep project records, dashboards, and shared folders current and organized.
Proactively identify and communicate project risks, issues, and scheduling concerns.
Ensure site acceptance documentation is complete, accurate, and submitted in a timely manner.

Overall Objective:
Ensure all project coordination, quality assurance, scheduling, reporting, and documentation activities are effectively managed to support the successful and timely completion of facility refresh projects in accordance with approved project requirements and Government expectations.
