Description:
Project Background and Purpose
The role supports a special project driven by Company's ongoing acquisitions. Newly acquired companies may possess products, items, or technologies subject to U.S. Department of Commerce export-control regulations.

The project involves establishing and strengthening export-control and technology-control processes across multiple acquisitions. The contractor will help the team implement a repeatable project-management framework, track deliverables, coordinate stakeholders, and ensure progress across the various workstreams.

The position is primarily focused on project management rather than directly delivering compliance training or acting as the technical export-control expert.

Key Responsibilities:

  • Develop and enhance the existing project plan, then replicate and adapt it for each acquisition.
  • Create and maintain project dashboards, metrics, and progress reports.
  • Coordinate meetings involving multiple stakeholders and functional teams.
  • Prepare meeting minutes and track action items.
  • Monitor project milestones, deliverables, dependencies, and potential roadblocks.
  • Track progress across export-control and technology-control workstreams.
  • Support the implementation of policies, procedures, controls, and training initiatives.
  • Communicate project status, risks, issues, and outstanding actions to the hiring manager and relevant stakeholders.
  • Help ensure projects remain organized, coordinated, and on schedule.
  • Plan: build a comprehensive integrated project plan across all four workstreams, with milestones, dependencies, owners, and timelines.
  • Track and unblock: monitor progress against the plan, identify delays and risks, and drive solutions, escalating to leadership when needed.
  • Report: create and maintain a project dashboard, and deliver weekly and monthly metrics and status reports.
  • Coordinate: schedule and facilitate cross-functional meetings and training sessions with business units, export control SMEs, and technical SMEs.
  • Document: write and edit SOPs and job aids from SME input, and maintain project records of decisions, approvals, and control implementation.
  • Work efficiently: use AI tools to speed drafting, summarizing, analysis, and reporting, with review for accuracy and compliance with company policy.

Top Candidate Requirements
The hiring manager identified the following as the most important qualifications.

1. Proven project management experience

  • Candidates must have practical experience managing projects in a business environment and familiarity with project-management tools, such as Microsoft Project or comparable software.

2. Learning agility and adaptability

  • The candidate should be a quick learner who can understand new processes, grasp unfamiliar terminology, manage multiple workstreams, and keep activities on track.

3. Strong communication and coordination skills

  • The candidate should be comfortable coordinating cross-functional stakeholders, organizing meetings, documenting discussions, tracking action items, and reporting project status.

Preferred Backgrounds and Additional Qualifications

  • Trade compliance or export-control experience: Highly beneficial but not mandatory.
  • Import/export knowledge: Helpful for understanding regulatory requirements and the movement of goods.
  • Supply chain experience: Relevant and potentially a good fit.
  • Technology transfer experience: Relevant, particularly where technology transfers require export-control reviews.
  • Pharmaceutical industry experience: Preferred because familiarity with product development, manufacturing, and commercialization can help the candidate understand company's business processes.
  • Previous experience: A potential advantage, particularly for candidates familiar with similar internal roles and processes. Eligibility for rehire must be checked with company HR before submission.

The hiring manager emphasized that trade compliance terminology and domain-specific knowledge can be taught to a candidate with strong project-management fundamentals.

Experience and Education:
Criteria - Hiring manager's guidance

  • Project management experience - Approximately 3–5 years is a helpful benchmark; more experience is welcome.
  • Business experience - Candidates should not be entry-level graduates without practical business experience.
  • Bachelor's degree - Preferred, but not an absolute requirement.
  • Equivalent experience - Candidates without a degree may be considered if they have substantial professional experience and strong business acumen.

Interview Process:

  • Expected duration: Approximately 1 hour.

Ideal Candidate Profile

  • The strongest candidate will be an experienced project-management professional who can independently organize and track complex, multi-workstream projects.
  • They should be comfortable building project plans and dashboards, coordinating meetings, documenting actions, monitoring dependencies, and communicating progress to stakeholders.
  • A candidate from pharmaceutical operations, supply chain, technology transfer, import/export, or trade compliance may have an advantage. However, strong project-management capability, learning agility, and communication skills remain the primary selection criteria.
