Project Coordinator - Financials
Location: Toronto, ON
Onsite Flexibility: Hybrid
Contract Details
- Position Type: Contract
- Contract Duration: 5 months (with potential for extension based on performance and business needs; FTE conversion also possible)
- Pay Rate: C$55.00 / Hour (CAD)
- Shift / Schedule: 37.5 hours/week, 9:00 AM โ 5:00 PM, Monday to Friday; Core onsite days: every Monday and first Friday of every month
Job Summary
We are seeking a highly organized, proactive, and detail-oriented professional to support projectfinancial governance, operational governance, coordination, lead process development and documentation, financial management, and reporting across multiple workstreams. This role is critical to ensuring effective financial oversight, resource management and effective operations in a fast-paced, program-driven environment.
The successful candidate will be responsible for providing clear, accurate, and timely reporting and analysis to support senior leadership decision-making across budgeting, planning, project financials, compliance, tracking, and resourcing. This individual will also play a key role in resource allocation governance, provide first-line support for the client's proprietary resource and project financial management tool (Eclipse), and support onboarding and training for new users, and develop processes.
Key Responsibilities
- Maintain project financial forecasts, monitor progress, and escalate risks, issues, and action items as required.
- Manage and reconcile project financials, including accruals, GL reconciliation, chargebacks, invoice tracing, forecasting, and actuals-to-plan variance analysis, with clear commentary and insights.
- Prepare and deliver financial and status reporting for leadership teams and executive steering committees.
- Lead and support governance activities and contribute to the continuous improvement of operational processes, tools, and reporting.
- Respond effectively to shifting priorities and manage multiple deliverables in a dynamic environment.
- Support the resource allocation governance process, onboard users to Eclipse, and provide troubleshooting and first-line user support.
- Create, reengineer, and enhance operational processes to improve efficiency and effectiveness.
- Support the Director in preparing executive presentations and conducting ad hoc analysis across headcount, GL transactions, financial data and operational metrics/data.
Required Skills
- 5โ10 years of experience in Project Coordination & Business Effectiveness, with a strong emphasis on Financial Planning & Analysis.
- Demonstrated experience managing program and project financials, including GL reconciliation, forecasting, variance analysis, and executive financial reporting.
- Strong analytical capability, including the ability to extract, manipulate, interpret, and report on data from multiple systems financial and non-financial.
- Proficiency with a data-driven mindset, with the ability to understand data structures and relationships, identify insights, and translate findings into clear analysis and compelling business stories.
- Proven ability to manage multiple priorities and adapt quickly in a fast-paced environment.
- Strong communication, collaboration, and stakeholder management skills, with exceptional attention to detail.
- Experience in process documentation, process design, and process improvement.
- Demonstrated leadership capability with a strong sense of ownership and a self-starter approach.
- Ability to synthesize complex information into concise, impactful summaries for senior and executive audiences.
- Strong storytelling and presentation skills.
- Proven ability to create executive-ready materials that support informed decision-making.
Preferred Skills
- Experience working within the client organization.
- Familiarity with the client's GL reconciliation processes and the Eclipse tool.
- Advanced proficiency in MS Project, Excel, PowerPoint, and SharePoint.
- Experience with Jira, Power BI, Alteryx, and Confluence.
Required Experience
- 5โ10 years of experience in Project Coordination & Business Effectiveness, with a strong emphasis on Financial Planning & Analysis.
Work Environment / Physical Requirements
- The 5-member team is responsible for financial governance, resource management governance, third-party governance, contract management, operational governance, and executive reporting.
- This role requires close collaboration with the immediate team and regular engagement with key stakeholders, including senior leaders across the supported portfolios.
- The position plays an important role in maintaining process, financial and governance controls and supporting operational efficiency across the portfolio.
- Given the critical nature of month-end activities and reporting timelines, the resource is expected to remain available during these periods and avoid taking time off.
- Daily interaction with the immediate team of 5 resources, Resource Managers, and Chapter Leads.
Important Notes
- Candidates may begin the engagement while employment history and regulatory credentials are being verified by the supplier; suppliers have 30 days from the start date to complete verification.
- The resource is expected to be available during month-end activities and reporting timelines and should avoid scheduling time off during these periods.
- Interview process: 2 rounds (virtual via MS Teams), each approximately 1 hour in duration.
