Project Accountant ODC

Purpose

The Project Accountant provides financial, accounting, and administrative support for the On Demand Cargo (ODC) business unit. This position is responsible for supporting the financial management of ODC projects and trips, including customer invoicing, vendor invoice reconciliation, cost tracking, variance analysis, timekeeping and payroll support, budgeting, forecasting, and financial reporting.

Working closely with the Director of ODC and Corporate Accounting, the Project Accountant tracks project- and trip-related costs and activities to ensure accurate financial reporting and provide timely financial information to support operational and business decisions.

Essential Duties and Responsibilities

  • Set up customer trips and projects within applicable accounting and financial systems.
  • Maintain accurate project- and trip-related financial records, including contracts, change orders, supporting documentation, and cost records.
  • Prepare customer invoices and billings, including compiling and validating supporting documentation required for invoicing.
  • Track project and trip costs and investigate financial variances, providing variance analysis and reporting to ODC leadership.
  • Review and reconcile fuel charges, vendor invoices, and other project- or trip-related expenses against operational documentation and supporting records.
  • Review vendor invoices for accuracy, identify reimbursable project- or trip-related expenses, and coordinate accounts payable activities with Corporate Accounting.
  • Coordinate with Accounts Receivable regarding outstanding customer invoices and respond to requests for supporting documentation or additional billing detail.
  • Complete financial closeout activities for projects and trips upon completion.
  • Review employee timesheets for accuracy, appropriate labor coding, and proper allocation of costs.
  • Collect, validate, and provide payroll-related information as required.
  • Maintain pilot flight-hour reports and track sales, operational activity, and other key business metrics as required.
  • Partner with the Director of ODC to analyze and report project, trip, and departmental profitability.
  • Prepare recurring financial reports, dashboards, and management reporting related to revenue, expenses, project costs, and departmental performance.
  • Perform monthly reviews and reconciliations of departmental revenue, expenses, and trip costs.
  • Develop and maintain the departmental budget, including budget-to-actual analysis, forecasting, variance analysis, and reporting to management.
  • Support the annual budgeting process and periodic forecasts and reforecasts.
  • Prepare and submit required governmental reports, tax filings, and other financial documentation related to ODC operations, as applicable.
  • Identify opportunities to improve financial processes, reporting accuracy, internal controls, and administrative efficiency.
  • Maintain financial records and confidential information in accordance with company policies and applicable requirements.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Strong knowledge of accounting and financial principles, practices, and procedures.
  • Knowledge of project accounting, cost tracking, invoicing, reconciliation, budgeting, and forecasting practices.
  • Strong analytical and problem-solving skills with the ability to identify, investigate, and resolve financial discrepancies and variances.
  • Strong attention to detail with the ability to produce accurate and timely work.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to exercise sound judgment and initiative when addressing financial and operational matters.
  • Strong organizational and project management skills.
  • Ability to work independently and collaboratively with employees, operational leadership, and corporate support functions.
  • Ability to handle confidential and sensitive financial and business information appropriately.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Ability to effectively utilize accounting, financial, and business systems.

Qualifications

Required Qualifications

  • Three (3) or more years of experience in accounting, finance, project accounting, or financial operations.
  • Demonstrated experience with financial analysis, reconciliation, invoicing, budgeting, forecasting, or related accounting functions.
  • Experience utilizing accounting or financial management software.

Preferred Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Experience supporting aviation operations, project-based operations, or government contracting.
  • Experience with project costing, customer billing, budgeting, forecasting, and financial analysis.
  • Experience developing financial reports, dashboards, and management-level reporting.

Physical Requirements

  • Ability to remain in a stationary position for extended periods while performing computer-based work.
  • Ability to operate standard office equipment, including computers and telephones.
  • Ability to communicate effectively with employees, customers, vendors, and other business contacts.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.

Work Environment

This position primarily operates in a professional office environment and routinely uses standard office equipment. The position requires regular interaction with employees, operational leadership, Corporate Accounting, customers, vendors, and other internal and external stakeholders.
