Role Overview:
The contractor will serve as the operational backbone for Leadership & Organizational Capability programs in the U.S., overseeing end-to-end program operations, delivery coordination, participant administration, materials management, vendor support, platform administration, and reporting. This role is accountable for maintaining delivery schedules, ensuring facilitator, room, resource, and participant readiness, managing logistics and communications, supporting enrollment and learning administration, coordinating program materials and vendor processes, administering external learning platforms, and producing operational reports and data insights. The individual will proactively manage risks, resolve scheduling and operational issues, and partner with program owners, facilitators, vendors, Facilities, and site teams to ensure seamless execution and a high-quality learner experience across both virtual and in-person leadership programs.
Key Responsibilities:
- Own and maintain the U.S. program delivery calendar, ensuring readiness across facilitators, contractors, locations, rooms, resources, and dependencies.
- Coordinate delivery dates, facilitator/contractor availability, room setup, equipment, materials, catering, and participant logistics.
- Manage schedule changes, cancellations, substitutions, calendar updates, invitations, reminders, rosters, attendance, and completion tracking.
- Support participant enrollment, transfers, and withdrawals through Workday and maintain accurate learning/program records.
- Coordinate printing, inventory, shipping, and distribution of program materials in the U.S. and globally.
- Support vendor administration, purchase requests, POs, invoices, payments, and vendor documentation.
- Administer participant uploads to LeaderFactor twice weekly and FranklinCovey weekly.
- Produce enrollment, attendance, completion, participation, and program reach reports using approved sources such as Workday and Power BI.
- Maintain operational trackers, shared resources, documentation, feedback data, and shared inbox/service requests.
- Identify scheduling conflicts, capacity gaps, resource constraints, and unresolved dependencies and escalate appropriately.
Required: Program/learning operations, project coordination, or comparable operational support experience; strong scheduling and organizational skills; experience coordinating facilitators, vendors, participants, and stakeholders; accurate reporting/documentation; strong written/verbal communication; ability to manage multiple priorities independently; proficiency withMicrosoft 365, Outlook, Teams, Excel, PowerPoint, SharePoint, and Power BI.
