Position Description
Supports the program director by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program.Texas Tech Health El Paso (TTEP) is not considering applications from individuals who require sponsorship for an employment visa, including those with H1B visas or those currently on student or postgraduate visas.
Additionally, this position isnot eligible for remote or hybrid opportunities. All work is required to be performed onsite at TTEP.
Major/Essential Functions
- Research, organize, and provide up-to-date behavioral health referral information for CPAN program participants. Provide accurate referral assistance to staff, providers, program participants, and guardians, including community and regional resources for insured and uninsured individuals.
- Maintain and update Behavioral Health Resources. Research, verify, and submit behavioral data and resource information into departmental spreadsheets.
- Answer phones and provide timely, professional assistance. Process incoming and outgoing correspondence and track all items through completion.
- Draft, proof, edit, and finalize correspondence using proper grammar, clarity, and professionalism. Prepare official communications on behalf of the department, staff, and program.
- Coordinate travel arrangements for CPAN staff and resolve issues as needed. Prepare and process travel applications, vouchers, and reimbursement documents. Maintain logs of travel expenses and reimbursements in accordance with TTUHSC El Paso, CPAN, and departmental guidelines.
- Prioritize and schedule routine and urgent in-person and virtual appointments. Ensure CPAN staff are informed of scheduled appointments in a timely manner.
- Maintain organized filing and record-keeping systems for efficient retrieval of information. Ensure staff have necessary agendas, documents, and materials for meetings, conferences, and activities. Prepare meeting minutes when requested.
- Assist in planning and implementing departmental initiatives and complete special assignments with appropriate independent judgment.
- Monitor and purchase departmental supplies; maintain supply inventory and records. Keep supply room organized and ensure adequate stock levels.
- Other Duties: Provide operational and administrative support to the Program Director and departmental staff as needed.
- Support daily departmental operations with efficiency and timeliness.
- Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
- Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
- Personally, and consistently demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution.

- High school plus six years experience in related field.

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan.
