Administrative – Program Coordinator III
Location: Fully Remote (US Only)
Duration: 6 Months (Possibility of extension or conversion)
Pay Rate: $40 – $44/hour (W2)

About the Role
We are seeking an experiencedProgram Coordinator III to provide high-level operational, administrative, and cross-functional coordination support. In this role, you will keep critical initiatives organized and running seamlessly by managing complex schedules, tracking key deliverables, facilitating communications, and maintaining executive documentation.
Key Responsibilities
- Event & Briefing Materials: Build and verify volume attendee facesheets for major events—sourcing/validating bios, photos, and career history against CRM data and public sources.
- Executive Support: Prepare first-draft executive briefing materials for external meetings (attendee profiles, background context, talking points) while coordinating inputs across partner teams.
- Quality Control & Standards: Ensure rigorous QC on briefing materials before senior executive delivery; own template maintenance and version control.
- Meeting & Document Logistics: Finalize and distribute meeting assets, including formatting, PDF conversions, document repository uploads, and calendar attachment management.
- Request Triage: Track and triage inbound meeting/event requests for large conferences, serving as the single source of truth for status and updates.
- Review Cycles: Own the end-to-end cadence for recurring cross-functional executive reviews, including workback schedules, milestone deadlines, and pre-read material collection.
- Event Operations: Assist with end-to-end event logistics, venue/capacity planning, RSVP tracking, transportation coordination, and vendor alignment.
Qualifications & Key Skills
- Proven experience producing high-quality written materials and briefings tailored for a senior executive audience.
- Strong research, data synthesis, and information-gathering capabilities.
- Exceptional organizational skills with keen attention to detail and quality control.
- Ability to manage cross-functional stakeholders, complex workback schedules, and competing priorities in a fast-paced environment.
