About the Role
Our client is seeking a highly organized and proactive Program Coordinator to support Above-The-Line (ATL) Talent Development programs focused on directors, writers, and producers. This role is strictly focused on ATL programming and will support the design, execution, and day-to-day management of in-house talent development programs.
This role is a blend of program coordination and operations, with a strong emphasis on workflow building, process improvement, and hands-on program execution. You will partner closely with the Manager of Talent Development, who oversees 3β5 programs simultaneously, acting as both a key operator and thought partner to help scale and streamline program delivery.
The ideal candidate has prior experience working within studios, production companies, or agencies, with exposure to above-the-line talent and an understanding of how creative environments operate. This role requires strong interpersonal skills, the ability to build relationships with high-level talent, and the resilience to manage complex personalities in a fast-paced environment.
Key Responsibilities
Program Operations & Workflow Management
β Partner with the Manager of Talent Development to build, document, and refine workflows across multiple ATL programs
β Act as a day-to-day operational partner supporting 3β5 concurrent programs
β Maintain and improve program timelines, trackers, and checklists to ensure smooth execution
β Build, update, and manage Airtable bases, including creating new trackers and optimizing existing systems
β Monitor milestones, deadlines, and deliverables across programs
β Identify inefficiencies and proactively recommend workflow and process improvements
Program Coordination & Talent Management
β Support the day-to-day coordination of ATL programs, ensuring seamless execution across all stakeholders
β Manage and maintain program data, including talent contact information, reels, resumes, and related materials
β Collaborate with internal coordinators supporting data entry while maintaining ownership of overall data quality and organization
β Coordinate logistics for program activities including masterclasses, workshops, labs, and events (virtual and onsite)
β Support scheduling across internal teams, external partners, and program participants
β Communicate professionally with high-level creative talent, including showrunners, executive producers, and agents/managers
Administrative, Communication & Meeting Support
β Monitor and manage emails, Teams communications, and program updates
β Attend meetings with internal teams and external stakeholders; take detailed notes and draft summaries with clear next steps
β Prepare and manage program documentation (NDAs, agreements, guidelines, FAQs, etc.)
β Maintain organized and up-to-date files across shared platforms (Google Drive)
Presentation & Reporting Support
β Develop and update presentations, decks, one-pagers, and program materials
β Assist in collecting and organizing program data, including participant feedback and engagement metrics
β Support reporting and program evaluation efforts
Proactive Support & Continuous Improvement
β Act as a thought partner to the Manager by contributing ideas to improve program structure, workflows, and overall efficiency
β Anticipate program needs and proactively suggest tools, templates, and process improvements
β Monitor industry trends in talent development and creative programs to inform enhancements
Required Skills & Experience
β 3β5 years of experience in program coordination, operations, or similar roles
β Prior experience supporting programs in entertainment, media, studios, or creative agency environments
β Exposure to Above-the-Line (ATL) talent (directors, writers, producers)
β Experience working with or supporting high-level creative talent (e.g., showrunners, executive producers)
β Hands-on experience with Airtable, including building and managing bases (not just usage)
β Strong organizational skills with the ability to manage multiple programs and priorities simultaneously
β Excellent written and verbal communication skills with strong interpersonal and relationship-building abilities
β Ability to work independently as a self-starter while collaborating with cross-functional teams
β Proven ability to manage challenging personalities with professionalism and resilience
β Strong attention to detail with a focus on data accuracy and hygiene
Preferred Skills
β Experience working at large-scale studios, production companies, or entertainment organizations
β Experience working within talent development programs or similar initiatives
β Background supporting both Above-the-Line (ATL) and Below-the-Line (BTL) environments
β Experience coordinating events, workshops, or masterclasses
