Procurement Coordinator

About The Job:

• We are looking for a Procurement Coordinator to support our year-end Workplace and Benefits renewals on a 3-month contingent basis.
• This is a hands-on role for someone who can start quickly and deliver with minimal ramp-up.

Essential Job Functions:

• Work closely with business partners and the Procurement Analyst on pre-renewal planning, RFP distribution, and post-renewal analysis.
• Draft SOWs with business stakeholders, then work with Legal to review and finalise them.
• Negotiate SOW terms and pricing with Workplace and Benefits suppliers, within parameters agreed with the renewal owner.
• Use internal and external data to benchmark pricing and support negotiations.
• Help identify and track cost savings and reduction opportunities and record them accurately.
• Raise and process POs in Coupa, making sure every renewal is executed on time and in line with company purchasing policy.
• Track renewal timelines and notice windows across multiple suppliers and countries, and flag risks early to the renewal owner.
• Give clear guidance to business teams on the procurement process and policies throughout the renewal cycle.
• Draft Statements of Work (SOWs) in partnership with business stakeholders, capturing scope, deliverables, timelines, and pricing clearly and accurately.
• Work with Legal to review and finalise each SOW, resolving comments promptly and keeping stakeholders informed.
• Negotiate SOW terms and pricing with suppliers within agreed parameters, delivering better commercial value, favourable terms, and cost savings.
• Raise and process purchase orders in Coupa accurately and on time, in line with company purchasing policy.
• Manage multiple renewals in parallel across countries and teams, keeping every renewal on track to close before its deadline.
• Keep SOWs, supplier correspondence, and renewal records organised and up to date.

Qualifications:

• Bachelor’s degree (BA/BS) or equivalent experience; MBA or Master’s is a plus.
• 2-3 years of experience in an indirect procurement team, with hands-on experience in Workplace and/or Benefits renewals.
• Proven experience drafting and negotiating SOWs or similar service agreements with suppliers.
• Experience working with Legal on contract review and redlines.
• Hands-on experience raising and processing POs in Coupa (required); familiarity with Salesforce and Graphite Connect is a plus.
• Able to analyse pricing and market data, draw conclusions, and make clear recommendations to support negotiations.
• Strong organisational skills, with the ability to manage multiple renewals in parallel and meet tight deadlines.
• Excellent written and verbal communication skills, with confidence working with business stakeholders, suppliers, and Legal.
• Able to start quickly and work independently in a fast-paced, high-growth environment with minimal ramp-up.
• Willing to roll up your sleeves and drive work through to completion, and to keep documentation organised for a clean handover.
