Our client, a highly regarded boutique law firm located in North York, is currently seeking aPersonal Injury Legal Assistant to support their growing practice. The firm offers competitive benefits and an opportunity to work alongside a talented legal team focused on Personal Injury Law.

About the Role

The successful candidate will provide comprehensive administrative and legal support to lawyers and the broader Personal Injury team. Responsibilities will include:

  • Opening, organizing, maintaining, and closing personal injury files.
  • Managing electronic and physical filing systems and ensuring files are kept organized and up to date.
  • Preparing and formatting correspondence, letters, forms, and other legal documentation.
  • Drafting and producing routine correspondence to insurance companies, medical professionals, OHIP, police services, clients, and other relevant parties.
  • Preparing and sending documentation and correspondence to adjusters, opposing counsel, experts, and other third parties as directed by the lawyer.
  • Managing incoming and outgoing correspondence, including emails, mail, courier packages, and faxes.
  • Scheduling examinations, medical assessments, discoveries, mediations, hearings, client meetings, and other appointments.
  • Coordinating calendars and ensuring lawyers and clients are prepared for upcoming events and deadlines.
  • Communicating with clients to obtain information and documentation and providing updates regarding appointments and procedural matters.
  • Preparing and organizing medical briefs, document productions, correspondence, and other materials for lawyer review.
  • Requesting medical records, employment records, OHIP documentation, and other supporting documentation as directed.
  • Assisting with the preparation and organization of materials for examinations for discovery, mediations, pre-trials, motions, and trials.
  • Preparing, organizing, scanning, photocopying, and indexing documents and maintaining accurate file records.
  • Assisting with the preparation of settlement materials, mediation briefs, and other documents under the direction of the lawyer.
  • Coordinating with experts, medical professionals, rehabilitation providers, and other third parties to schedule appointments and obtain required documentation.
  • Following up on outstanding documentation, undertakings, correspondence, and requests.
  • Assisting with billing, time entry, accounts receivable follow-up, and client reporting.
  • Entering and maintaining accurate file information in the firm's practice management and accounting systems, including PCLaw and/or Time Matters.
  • Monitoring lawyer calendars and bringing upcoming deadlines, appointments, and limitation dates to the lawyer's attention.
  • Assisting with new client intakes, including gathering preliminary information and documentation.
  • Providing general administrative support, including answering phones, managing emails, scheduling meetings, scanning, photocopying, and maintaining office records.
  • Communicating professionally with clients, insurance adjusters, opposing counsel, medical professionals, and other stakeholders.
  • Supporting lawyers and the broader legal support team with additional administrative and file-related tasks as required.

What You Bring

  • 2+ years of experience as a Legal Assistant, preferably within a Personal Injury practice.
  • Previous experience supporting lawyers in a busy litigation environment is considered an asset.
  • Familiarity with personal injury terminology, insurance claims, and the general litigation process.
  • Experience with legal practice management and accounting software such as PCLaw and/or Time Matters is an asset.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently while contributing effectively within a team environment.
  • Professional and client-focused approach with strong interpersonal skills.
  • Ability to work in a fast-paced environment while maintaining confidentiality and professionalism.

Salary Range

$50,000 - $60,000
