People Operations Coordinator
Location: Maryland Heights, MO
Job Type: Full-time, on-site
Starting Rate:Starting at $24.00 per hour ($49,920 annualized) plus 10% annual incentive opportunity. Actual starting pay will be based on experience, skills, and overall qualifications. This is a non-exempt position and pay is subject to overtime based on hours worked.

About the Role
The People Operations Coordinator is responsible for supporting the organization's talent acquisition efforts while ensuring the efficient day-to-day operation of the office environment. This role serves as a key administrative partner to the recruiting team, hiring managers, employees, candidates, visitors, and vendors, helping to create a positive and professional experience for all stakeholders.
As a dual-function role, the People Operations Coordinator coordinates recruiting activities throughout the hiring process, including interview scheduling, candidate communications, onboarding support, and recruiting administration, while also managing a variety of office operations and administrative responsibilities. This individual helps maintain an organized, welcoming workplace, supports employee engagement initiatives, and ensures critical processes are completed accurately and efficiently.
The ideal candidate is highly organized, detail-oriented, customer-service focused, and comfortable balancing multiple priorities in a fast-paced environment. Success in this role requires strong communication skills, professionalism, sound judgment, and the ability to build positive relationships across all levels of the organization.
What You'll Do
Talent Acquisition & Recruiting Coordination
- Coordinate interview scheduling between candidates, hiring managers, recruiters, and interview teams.
- Manage candidate communications throughout the recruiting process.
- Maintain accurate candidate records and job requisitions within the Applicant Tracking System (ATS).
- Support job posting administration across internal and external recruiting platforms.
- Coordinate background checks, pre-employment screenings, and onboarding documentation.
- Prepare offer letters and support new hire onboarding processes.
- Schedule orientations and coordinate first-day logistics for new employees.
- Track recruiting activities and ensure data accuracy, compliance, and process integrity.
- Support recruiting events, career fairs, hiring events, and community outreach initiatives.
- Prepare interview materials and coordinate interview feedback collection from hiring teams.
Office Operations & Administrative Support
- Serve as the primary point of contact for visitors, vendors, guests, and incoming calls.
- Maintain a professional, organized, and welcoming office environment.
- Manage office supplies, equipment maintenance, and vendor relationships.
- Coordinate incoming and outgoing mail, shipments, and deliveries.
- Assist with company events, employee recognition programs, and engagement activities.
- Maintain office records, files, bulletin boards, and employee communications.
- Support facility-related requests and administrative projects across the organization.
HR & Employee Support
- Coordinate new hire equipment requests, badge access, and workspace preparation.
- Maintain onboarding and personnel records in accordance with company policies.
- Support HR initiatives, audits, reporting, and special projects.
- Assist employees and managers with onboarding-related questions and administrative needs.
Qualifications
What We're Looking For
Required Qualifications
- High school diploma or equivalent.
- 1+ year of experience in office administration, recruiting coordination, human resources support, or a related field.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong attention to detail and commitment to accuracy.
- Professional customer-service mindset with outstanding interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Demonstrated integrity, dependability, and a strong sense of urgency.
Preferred Qualifications
- Associate's or Bachelor's degree in Human Resources, Business Administration, Communications, or a related field.
- Experience supporting recruiting, talent acquisition, onboarding, or human resources functions.
- Experience working with Applicant Tracking Systems (ATS).
- Experience using HRIS platforms and electronic employee record systems.
- Experience supporting employee engagement programs, company events, or office operations.
- Familiarity with employment documentation and recruiting process administration.
