Position Title:Payroll Specialist

Compensation:$26.00 per hour, paid semi-monthly
Schedule:Monday, Tuesday, Thursday shift from 9am-5:30pm, plus up to five hours on Wednesdays and/or Fridays depending on payroll processing deadlines and scheduled training or meetings
Location:Music Hall at Fair Park, Dallas, TX
Remote Work:Infrequent: In person at the worksite, with limited remote opportunities at supervisor’s discretion

Position Summary:
Join a team of dedicated finance and administration professionals who support fellow employees, contractors, vendors, renters, and artists working out of the historic century-old Music Hall at Fair Park. As one of the region’s leading nonprofit arts organizations, each year Broadway Dallas presents approximately 18 weeks of touring Broadway performances and dozens of concert, spoken word, and other events at the Music Hall at Fair Park, and another 2 to 4 weeks of Broadway at the Winspear. Additionally, Broadway Dallas is proud of its growing education and community work in classrooms and throughout the community in North Texas and beyond.
The payroll specialist is responsible for all payroll processing, payroll budgeting, and payroll accounting entries and assists with administering benefit programs, paid time off, and deferred compensation.
This position requires regular on-site work in and around the Music Hall at Fair Park. Familiarity with Fair Park and its surrounding neighborhoods is strongly preferred.
Responsibilities include but are not limited to:
- Administration: Respond to questions regarding pay, deductions, and benefit coverage. Monitor the HR email and reply to employee and other emails within 72 hours. Serve as one of two main points of contact and administrators for the Professional Employer Organization (PEO) – currently TriNet. Maintain all payroll records, including pay raise and bonus records within employee personnel folders. Review and edit staff lists for event programs and provide them to the Marketing Department on time. Produce detailed organizational charts monthly. Produce internal reports and analyses and respond to data requests and salary surveys. Develop standard operating procedures for all areas of responsibility. Recommend and help implement process improvements in payroll and Human Resources Information Systems (HRIS) workflows. Review the Employee Handbook annually to ensure relevant sections are accurate.
- Payroll Processing: Process all weekly, semi-monthly, and off-cycle payrolls. Review and validate timekeeping records; resolve discrepancies with supervisors before each processing deadline. Obtain Director of Accounting’s review of payrolls and make adjustments as needed. Make payroll accounting entries. Audit payroll reports for accuracy and corrective action. Work withPEO to update system information, ensure proper payroll tracking, and to maintain payroll records in compliance with Fair Labor Standards Act (FLSA), Internal Revenue Service, and Texas Workforce Commission requirements. Ensure properly trained backup using accurate SOPs will process payroll in the event of absence.
- Benefits, Paid Time Off, and Deferred Compensation Program(s) Administration: Support the Human Resources Manager in administeringall Broadway Dallas benefit programs, as assigned.
- Payroll Budgeting: Prepare the payroll module for the budget, including calculations for all full-time positions, part-time non-show staff positions, and part-time show staff working on non-show-specific tasks. Assist managers as needed to make estimates for part-time show staff working on shows, and check the non-union payroll for all show budgets for accuracy. Be accountable for the accuracy of all payroll budgets.
- Union Payroll: Upon assignment by the HR Manager if needed, assist Production staff with union payroll processing.
- Monthly and Annual Close, Audits, and Form 990 Tax Filings: Support the monthly and annual close processes by completing all activities, including payroll accruals, general ledger reconciliation, and departmental labor allocations on time and accurately, and providing documentation and schedules as needed. Provide payroll and benefits data for the annual audit, Form 990 tax filings, and other audits. Assist with grant and contract reporting requiring labor cost detail. Strictly adhere to deadlines.
- Other duties as assigned.
Requirements:
- Bachelor's degree, plus one (1) year of relevant experience in payroll processing and reporting, accounting, administration, or related field. This requirement may be met by a combination of education and experience (i.e. 5 years total), provided the candidate has a high school diploma or equivalent and a PayrollOrg (formerly American Payroll Association) certification.
- Proficiency with a payroll and/or HRIS platform (for example Tri-Net, Workday, ADP, Paylocity, Paycom, or comparable systems).
- Working knowledge of FLSA, federal and state wage and hour law, and payroll tax compliance.
- Strong spreadsheet skills, including lookups, pivot tables, and reconciliation of large data sets.
- Demonstrated accuracy under recurring deadlines.
- Demonstrated discretion with confidential information.
- Demonstrated excellence in communication, interpersonal, and organizational skills.
- Access to consistent method of transport to/from the Music Hall at Fair Park and other designated work locations (venues, off-site event/meeting sites, etc.).
Preferred Skills/Qualifications:
- Bachelor's degree or higher in human resources, business administration, accounting, finance, or a related field.
- PayrollOrg Fundamental Payroll Certification and/or Certified Payroll Professional.
- Excellent analytical skills, i.e. the ability to identify and resolve a situation, topic, or problem quickly, including the ability to think critically, research, use data, interpret a subject, develop complex ideas, and propose and/or implement solutions, most often without instructions or guidance.
- Excellent writing skills, without the aid of artificial intelligence tools.
- Proficient in Microsoft Excel.
- Proficient in Oracle NetSuite.
- Experience making payroll journal entries, i.e. payroll accounting.
- Nonprofit experience, including audit support and functional expense allocation.
- Demonstrated appreciation of musical theatre or the performing arts in general.

- Must be able to lift up to 15 pounds at times.
