The ideal candidate is a dependable, detail-oriented professional who brings strong interpersonal, critical-thinking, and organizational skills to a fast-paced payroll and benefits environment. This role plays an important part in supporting accurate payroll and benefits administration through employee onboarding and offboarding, payroll updates, benefits changes, and reporting.

Key Responsibilities

Payroll Operations and Data Entry

  • Accurately enter, update, and maintain employee records to support reliable payroll and benefits administration.
  • Help ensure onboarding, offboarding, timekeeping, and payroll systems remain current and consistent.
  • Review, audit, and reconcile timesheets, partnering with senior payroll specialist to research and resolve discrepancies promptly.
  • Prepare and upload earnings, deductions, and related entries to support accurate and timely payroll processing.
  • Provide timely professional support to employees with questions about time entry and paychecks.
  • Assist with employment verifications and other routine payroll-related requests.
  • Support year-end reporting activities, including W-2 and 1099 processes.

Benefits Administration

  • Process benefit enrollments, status changes, and terminations in HR and benefits systems for new hires, qualifying life events, and annual open enrollment.
  • Maintain accurate employee address updates across benefits and COBRA platforms to support timely administration.
  • Serve as a helpful first point of support for basic employee questions about health insurance, 401(k) plans, and related benefits.
  • Prepare and send clear, timely reminders and communications about benefits enrollment and deadlines.
  • Complete monthly benefits billing audits by carefully reconciling insurer invoices with payroll deductions.
  • Assist with year-end benefits reporting, including 1095-C preparation.
  • Recordkeeping and Compliance
  • Maintain organized digital employee files, benefits documentation, and payroll records in accordance with applicable federal and state labor laws, including FLSA, ERISA, and HIPAA.
  • Generate accurate, timely payroll and benefits reports for finance leadership and internal review.
  • Process invoice or ACH payments for training, expense reimbursements, or global employees with attention to accuracy and timeliness.

Qualifications and Requirements

  • Education: Bachelor’s degree in Accounting, Business Administration, Human Resources Management, or a related field preferred.
  • Experience: 1–2 years of payroll, benefits, or related data-entry experience.
  • Technical Skills: Proficiency in Microsoft Office, especially Excel for sorting and basic formulas; experience with HRIS or payroll platforms preferred, particularly Paycom.
  • Core Competencies: Proven ability to handle confidential information with discretion; strong organization and time management; excellent attention to detail; ability to balance competing priorities; and practical problem-solving skills.
