The Parts Phone Room Sales position is responsible for supporting the profitability and growth of the Parts Department by providing excellent customer service and accurate parts sales over the phone. This position focuses on assisting customers with parts inquiries, identifying correct parts, processing orders, and ensuring a high level of responsiveness and professionalism. This position also works closely with warehouse, counter, and service teams to ensure timely and accurate order fulfillment.

Major Duties and Responsibilities

  • Customer Service and Phone Sales
    • Answer incoming calls and assist customers with parts inquiries and orders
    • Provide accurate and timely information regarding parts availability, pricing, and specifications
    • Deliver a high level of customer service while building strong customer relationships
    • Handle customer questions, concerns, and complaints in a professional manner
  • Parts Identification and Order Processing
    • Determine correct replacement parts based on customer descriptions or equipment needs
    • Utilize computer systems and catalogs to identify part numbers and pricing
    • Process and enter parts orders received via phone accurately and efficiently
    • Inform customers of substitutions or alternative parts when necessary
  • Order Coordination and Support
    • Coordinate with warehouse and counter employees to ensure timely order fulfillment
    • Assist in preparing estimates, including wreck estimates, as needed
    • Follow up on orders, backorders, and customer requests to ensure completion
    • Maintain accurate documentation of orders and customer interactions
  • Administrative Duties and Team Support
    • Maintain a clean, organized, and efficient work area
    • Complete required training and stay current on product knowledge
    • Attend department meetings and participate in team initiatives
    • Support other Parts Department functions as needed

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The knowledge, skills, and abilities listed below are representative of those required. This position operates primarily in an office environment with extensive phone and computer use, along with occasional interaction in warehouse settings around moving equipment. Lifting up to 75 pounds may be required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Education

  • High school diploma or GED required
  • 1 year of experience in the heavy-duty truck or parts industry preferred
  • Prior phone sales or call center experience preferred
  • Intermediate to advanced computer skills required

Skills Required

  • Strong customer service and communication skills
  • Ability to listen, understand, and respond effectively to customer needs
  • Ability to identify parts based on descriptions, specifications, or catalogs
  • Basic mathematical skills including pricing, discounts, and percentages
  • Strong attention to detail and organizational skills
  • Ability to multitask and manage high call volumes efficiently
  • Ability to work collaboratively with team members and other departments

Certificates, Licenses, and Registrations

  • Valid driver's license and ability to meet Company insurability requirements preferred
