RS Construction is a family-owned heavy-civil contractor based in San Francisco, building concrete and utility infrastructure that keeps the Bay Area moving. As we grow and professionalize our operations, we need a reliable, detail-driven Administrative Assistant to keep the front office running smoothly three days a week.
What You’ll Do
Area Key Tasks
Front Desk & Phones
Greet visitors, clients, and field crews with a friendly, professional manner.
Answer and route incoming calls; take clear, complete messages when staff are unavailable.
Mail & Deliveries
Accept FedEx/UPS/Amazon and USPS mail, verify counts, and log every inbound/outbound item in our delivery spreadsheet.
Prepare FedEx/UPS shipments and arrange same-day pickups when needed.
Accounting Support
Tag invoices for coding in QuickBooks (no coding required).
Match credit-card charges to receipts and flag any discrepancies.
Office Inventory & Admin
Monitor supplies (water service, printer paper, coffee, basic PPE) and place timely re-orders.
Keep the front office, copy area, and supply shelves tidy and stocked.
General Team Support
Print and bind plan sets, scan documents, and update simple Excel/Google Sheets trackers.
Pitch in on occasional event setups or ad-hoc clerical projects.
Schedule & Pay
Hours: Mondays, Wednesdays, Fridays • 8:00 a.m.–5:00 p.m. (24 hrs/week)
Duration: Open-ended; minimum three-month commitment preferred
Compensation: $20–$26 per hour + paid sick leave per SF ordinance
What You’ll Bring
Experience: 1-2 years in an office, reception, or customer-service role
Skills: Solid MS Office; basic Excel formulas
Detail Orientation: Proven habit of double-checking data, names, and numbers
People Skills: Clear phone voice, upbeat attitude, and calm under interruptions
Bonus Points: Familiarity with QuickBooks or other accounting software; experience in construction, logistics, or mailroom work; bilingual English/Spanish
