ABOUT LIFEMOVES
LifeMoves is the largest and most effective provider of interim housing and services for homelessness in Silicon Valley since 1987. Our Mission is to end homelessness by providing interim housing, supportive services, and building collaborative partnerships. With over two dozen interim supportive housing communities and more on the way, LifeMoves gives our neighbors experiencing homelessness a temporary place to call home while providing intensive, customized case management through site-based programs and community outreach.
POSITION PURPOSE
The Overnight Operations Coordinator provides mobile operational leadership, training, coaching, scheduling support, and crisis response across LifeMoves Interim Supportive Housing programs in Santa Clara and San Mateo Counties. Serving as the first line of operational leadership overnight, Coordinators partner with Residential Service Coordinators, Resident Managers, Program Aides, Shift Leads, Program Directors, and the Overnight Program Director to ensure safe, consistent, trauma-informed services across sites.
The Overnight Operations Coordinator reports to the Overnight Program Director and is one of two Coordinators who, together with the director, form a three-person overnight leadership team. This position has no direct reports; site leadership retains overall site responsibility and direct staff supervision. Success in this role is reflected in confident frontline staff, effective crisis response, reliable overnight coverage, consistent operations, and stronger collaboration across sites.
This position works 12:00 AM to 8:30 AM on a weekly schedule staggered with the second Coordinator to provide seven-day coverage. The Overnight Program Director sets the primary county assignment and cross-county coverage based on operational needs.
ESSENTIAL JOB RESPONSIBILITIES
Scope of Authority
- Provides overnight functional leadership through site visits, training, coaching, staff meetings, scheduling support, and emergency response. May direct and prioritize tasks during the shift, delegate immediate tasks while working alongside staff, approve overnight scheduling details in Paycom within approved overtime guidelines, coordinate authorized temporary reassignment between nearby sites, and direct crisis response.
- Program Directors retain overall site responsibility. Operations and Service Managers, where assigned, or other designated site supervisors directly supervise Residential Service Coordinators, including overnight staff. Formal supervision, evaluations, discipline, hiring, time-off approval, and time and attendance approval remain with site leadership and authorized agency personnel.
- Documents performance concerns and observations, provides immediate coaching and direction, and refers concerns to the employee's supervisor. Coordinates follow-up with site leadership and escalates significant or unresolved concerns to the Overnight Program Director or designated on-call leader.
Mobile Operational Leadership & Staffing Support
- Conduct planned and responsive site visits; serve as an accessible operational resource for overnight staff and assess cross-site operational needs.
- Identify systemic and site-specific concerns and act within delegated authority, or escalate to the Overnight Program Director.
- Coordinate authorized temporary staff reassignment between nearby sites to address shortages, considering staff qualifications and required coverage at both sites.
- Provide temporary on-site leadership and hands-on assistance at short-staffed sites when necessary; communicate prolonged coverage needs to leadership without losing sight of cross-site responsibilities.
- Assist with admissions, client transitions, and other operational priorities during periods of increased demand, following approved procedures.
- Collaborate with site supervisors to review overnight task expectations and protect time for safety rounds, monitoring, and crisis readiness. Report recurring staffing gaps, fatigue concerns, and operational barriers.
Overnight Scheduling & Coverage Support
- Support overnight scheduling and coverage planning using agency-approved tools such as Paycom, within authorized system access.
- Review overnight schedules and attendance in Paycom to identify coverage gaps, call-outs, and upcoming shortages across sites.
- Approve overnight scheduling details in Paycom, such as shift swaps, coverage assignments, and schedule adjustments, in consultation with site supervisors and in line with agency policy. Approvals must stay within approved overtime guidelines; changes that would result in overtime require prior approval from site leadership or authorized agency personnel. Ensure required staffing levels and qualifications are met at each site.
- Coordinate shift coverage and authorized temporary reassignments between nearby sites, and communicate schedule changes promptly to site leadership, the Overnight Program Director, and affected staff.
- Help staff use scheduling and timekeeping tools correctly.
- Report recurring scheduling patterns, such as frequent call-outs or chronic understaffing at a site, to support proactive staffing decisions.
Training, Coaching & Recognition
- Plan and deliver competency-based training in nonviolent conflict resolution, de-escalation, trauma-informed practice, harm reduction, and overnight procedures. Deliver CPR training when qualified and authorized, or arrange qualified instructors.
- Provide day-to-day coaching to Residential Service Coordinators, Resident Managers, Program Aides, and Shift Leads, reinforcing agency expectations through observation, feedback, and hands-on support. Favor coaching over correction whenever possible.
- Support onboarding and mentoring of new overnight employees through demonstrations, scenarios, observation, and constructive feedback. Use quieter periods for learning only when safety and coverage permit.
- Help staff build confidence in decision-making, crisis response, documentation, and client engagement.
- Document training participation, assess application of skills, and coordinate follow-up coaching with assigned supervisors. Communicate staff development opportunities to Program Directors and the Overnight Program Director.
- Facilitate overnight staff meetings as needed; recognize strengths and teamwork, and foster a culture of accountability, learning, and psychological safety.
Crisis Response & Staff Wellbeing
- Provide calm leadership during behavioral health crises, medical emergencies, facility emergencies, safety concerns, and complex client situations. Model trauma-informed, nonviolent de-escalation and the least restrictive safe response.
- Direct incident priorities and staff deployment; coordinate with emergency responders, security, behavioral health and clinical resources, and agency leadership.
- Ensure approved overdose, suicide-response, first aid/CPR, and evacuation procedures are followed; assist within completed training.
- Support staff on site or remotely when emergency response is delayed or unavailable; use the designated escalation process and adapt safety measures as circumstances change.
- Review incident documentation, notify leadership, coordinate immediate overnight follow-up, and hand off longer-term actions to responsible site staff.
- Facilitate debriefings and after-action reviews, check in with affected employees, and connect them to agency support resources.
Safety, Quality & Client Rights
- Conduct operational observations during routine site visits; reinforce staff implementation of safety rounds, wellness checks, and emergency readiness while protecting client privacy, dignity, rest, and individualized needs.
- Identify opportunities to strengthen safety, documentation, client engagement, and operational consistency, and share observations with Program Directors and the Overnight Program Director.
- Ensure hazards and maintenance concerns are reported and followed up; reinforce infection prevention, sanitation, and applicable public health procedures. Support inspection readiness and corrective actions.
- Coach staff on approved low-barrier admissions, Housing First, harm reduction, and individualized safety assessment. Reinforce authorized procedures for service restrictions and involuntary exits, including documentation, notice, review, and transition planning.
- Ensure staff know how to arrange accommodations, interpretation, accessible communication, evacuation assistance, and grievance access. Reinforce nondiscrimination, confidentiality, and approved immigration-enforcement and records-request protocols.
Policy & Practice Support
- Partner with the Overnight Program Director to develop, implement, and refine overnight procedures, operational tools, and practices.
- Support rollout of new policies and initiatives, and help develop and reinforce approved guidance on independent staff decisions, required authorization, client notices, temporary safety measures, and routing follow-up when immediate action would be unsafe.
Communication, Documentation & Follow-Through
- Serve as a communication bridge between overnight operations and daytime leadership; maintain clear handoffs among the director, Coordinators, overnight teams, and daytime leadership.
- Provide timely summaries of incidents, staffing concerns, training needs, and unresolved issues to appropriate leadership staff.
- Follow up on concerns reported by overnight staff and relay acknowledgment, outcomes, or updated instructions within confidentiality limits to appropriate leadership staff.
- Ensure objective, non-disciplinary client observations such as sleep changes or nighttime distress reach case managers; staff describe observations without diagnosing. Route housing concerns to daytime staff while respecting client readiness and overnight rest.
- Review documentation and reinforce agency, funder, and HMIS/FRNK deadlines within authorized access.
- Partner with Program Directors, Regional Directors, Clinical Services, Facilities, Client Experience, and other departments; contribute to leadership reporting when requested. Represent overnight operations professionally.
- Perform other related duties and special projects as assigned.
