Operations Executive- Harare

Job Summary:

The Operations Executive will be responsible for managing end-to-end shipping and logistics operations, ensuring smooth coordination with carriers, freight forwarders, customs authorities, and internal teams. The role requires strong operational insight, documentation expertise, and the ability to handle daily logistics activities efficiently.

Key Responsibilities:

1.     Logistics Coordination

• Manage inbound and outbound shipments (air, sea, and road).

• Coordinate with shipping lines, freight forwarders, transporters, and warehouse teams.

• Track shipments and ensure timely delivery according to schedules.

2.     Documentation & Compliance

• Prepare and verify all shipping documents such as BL/AWB, Invoice, Packing List, COO, and Form-E.

• Handle customs clearance documentation and liaise with clearing agents.

• Ensure compliance with local and international shipping regulations.

3.     Customs Clearance

• Handle complete customs clearance process for inbound and outbound shipments.

• Coordinate with clearing agents for documentation submission and clearance procedures.

• Ensure full compliance with customs laws, rules, and regulatory requirements.

4.     Operations Management

• Maintain daily shipment logs and update internal systems.

• Monitor inventory movement and support warehouse operations.

• Ensure smooth execution of loading/unloading activities.

5.     Vendor & Stakeholder Coordination

• Communicate with suppliers, customers, and service providers regarding shipment status.

• Negotiate with logistics vendors for competitive rates and service quality.

6.     Problem Resolution

• Proactively identify shipment delays and operational issues.

• Coordinate corrective actions and keep stakeholders updated.

7.     Reporting & Analysis

• Prepare daily, weekly, and monthly operational reports.

• Analyze logistics costs and suggest optimization opportunities.

Requirements:

• Post Graduate diploma or equivalent.

• Completion of a recognized customs training course, such as-The Customs Clearing and Forwarding Certificate

• Min 5 years of relevant experience in shipping, logistics, or supply chain operations.

Skills

• Strong communication and coordination skills.

• Knowledge of shipping procedures (air/sea/road).

• Proficiency in MS Office (Excel, Word).

• Ability to multitask and work under pressure.

• Strong problem-solving and negotiation skills.
