Job Description
Practice Operations is Version 1's centralised operational support function, established to deliver consistent, predictable, and scalable operations support across all four delivery practices — Digital, Data and Cloud (DDC), Enterprise Applications (EA), Services Reliability Group (SRG), and Ireland Public Sector and Utilities (IPSU).
Practice Operations operates as a managed service to the Version 1 business, with the delivery practices as our customer, and is structured around two complementary teams: Operations Business Partners (OBPs), who are aligned to individual practices as the single operational point of contact, and a Shared Support team, which delivers repeatable, standardised processes across all practices at scale.
The function's remit spans the full breadth of delivery operations, underpinned by a single, consolidated set of Standard Operating Procedures that define how each process is owned, operated, and governed.
Practice Operations sits within Group Operations and reports to the Director of Practice Operations.
We are seekingan experienced and results-driven Operations Coordinator / Managerto join our growing Shared Support team.
You are an organised, energetic, and detail-oriented individual looking to create real value in a rewarding but fast-paced environment. You should enjoy interacting and maintaining a relationship with many people across a multitude of roles and teams. This role requires a solution-focused individual who can demonstrate commercial awareness, who loves data and demonstrates attention to detail and a focus on accuracy.
The role is highly impactful and makes a real difference in the success of the delivery practices. You will be a key member of team and responsible for all the associated operational processes, procedures, tools, and data that underpin the work of the team.
You should have a track record of getting things done without having direct ownership for the resources involved.
Key Responsibilities:
- Successfully deliver the activities set out in the Standard Operating Procedures (SOPs) for Practice Operations Shared Support team members.
- Support Kantata (our centralised timesheet and resourcing tool)-related activities, including some or all of the following activities:
- Validating the setup of new engagements and ensuring timesheet elements are activated
- Coordinating ownership of new proposals via CRM sync
- Timesheet administration
- Working closely with Practice Heads, Delivery Managers, and Finance to ensure that monthly forecasts are in place and accurately managed
- Processing end-of-tenure leavers.
- Triggering new hire requests (ESRs)
- Maintaining system hygiene, including follow-ups on missing business units or unbuilt proposals flagged by the Kantata team.
- Acting as a point of contact for delivery personnel on Kantata-related queries.
- Timely and accurate maintenance, review, and understanding of key operational data, including some or all of the following:
- Financial Data – Key data will include understanding the drivers within team forecasts
- Recurring Revenue – Ensuring Contract data is maintained, and revenue is captured
- Project Resourcing – Monitoring of Available Talent and external hiring
- Individual & Team Chargeability – understanding drivers of week-on-week fluctuations
- Contractor Utilisation – reporting on the level of contractor engagement by month
- Invoicing support to team
- General report preparation and ability to extract key information for practice leadership team and the Practice Operations OBP team.
- Supporting the progress and status accuracy of candidates through the Resource Planning System.
- General Administrative Support as required
- Finance liaison for:
- Approval of invoices
- Managing a minimal WIP balance
- Debtor queries
- Continuously seeking process and procedure improvement across the four delivery practices.
- Consistent collaboration with your team members to ensure a single way of working.
- Maintenance of Practice media (SharePoint, Viva Engage, comms, events, All Hands/Anchor Days)
- Ownership and/or attendance across key meetings within the week, documenting minutes and actions accordingly
- Identify and/or drive automation of operations processes, where possible.
- Other activities as may be identified during your tenure.
Skills, Education & Qualifications:
- At least 5 years' experience in a similar role
- Data-lover - An excellent analyst who thrives on lots of data, understanding the drivers and utilising these to support solutions and decision-making.
- Trustworthy - Attention to detail and accuracy is essential.

- Comfortable in Excel - Intermediate Skills (Lookups, Pivot knowledge essential)

- Ability to prioritize entrusted tasks and work to deadlines.
- Ownership – you must follow through tasks to completion and to an excellent level
- Have excellent communication skills and interpersonal skills.
- Experience of working in an ITIL Managed Services environment an advantage
- Experience using ServiceNow platforms an advantage
