Theteam develops intra-office communication protocols, streamlines administrative procedures,controlsinventory,supportsoffice staff and delegates tasks.TheOperationsTeam supportsthe entire office.Â

The OperationsAssociate provides assistance to the V.P. ofAdministration and Operationsin the daily management ofoffice business. Tasks will vary according to business operations with a typical focus on the financial, inventory, administrative support, event managementand human resourcesfunctions of the organization.Â

ResponsibilitiesÂ
Â
- Serve as the executive assistant to the CEOÂ
- Oversee and support all administrative duties in the office and ensure thatoffice is operating smoothlyÂ
- Maintain a clean and organized environmentÂ
- Manage office supplies inventory and place orders as necessaryÂ
- Perform receptionist duties: greet visitors, and answer and direct phone callsÂ
- Receive and sort incoming mail and deliveries, and manage outgoing mailÂ
- Assist with office layout planning and managing and maintaining IT infrastructureÂ
- Identify opportunities for process and office management improvements, and design and implement new systemsÂ
- Assist withcreating and managing invoices and banking functionsÂ
- Managethe receivingand processingofvendor and external invoicesÂ
- Assist with the planning and execution of all event planningÂ
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reportsÂ
- Providing other executive assistant functions as neededÂ
- Perform special projects and duties as assignedÂ
- Ability to work in a team environmentÂ

Required Knowledge/ExperienceÂ

- Functional knowledge:financial processes, vendor relationshipsÂ
- Proficient in: Microsoft Office, SharePoint, Adobe ProfessionalÂ
- Experience: 3 – 5 years of experience inan office manageror executive administrativepositionÂ
- Attributes:organized, positive attitude, multi-tasker, proactiveÂ
- Skills: ability to work on multipleprojects at a time in a face-paced environmentÂ
- Degree:Communications, Business or any other related fieldÂ
