  1. JOB SUMMARY:  Provides administrative leadership and operational oversight for day-to-day Campus Operations, including facility and resource scheduling, major event coordination, outside group coordination, operational systems, technology, procurement, vendor management, and departmental processes. 

 

  1. ESSENTIAL FUNCTIONS  
  • Calendar Management / Major Event Coordination:
    • Lead the bi-annual Block Calendar meetings and protect the church’s space and resource calendar, giving priority to approved major events and Executive Staff additions.
    • Identify scheduling and service conflicts and work with ministry teams to resolve them.
    • Advise ministry teams on major events, ensuring bookings are accurate and within Campus Operations capabilities.
  • Client Support / Service / Education:
    • Train and advise staff on EMS (Web App, Outlook, Desktop Client) and Social Tables, including reservations needing exceptions such as non-standard setup times or short-notice requests.
    • Work with the Pod Administrator Team to improve mail, print and office supply processes and manage the related vendors.
  • Outside Group Requests and Coordination:
    • Review outside group requests against facility use guidelines and present viable ones to the Campus Operations Director and committee for approval.
    • Manage approved groups from pre-event planning through post-event review.
  • Project Lead / Project Coordination:
    • Administer and improve EMS and Social Tables, including reporting, user support and process standards.
    • Lead assigned Campus Operations projects, including timelines, stakeholders, action items and progress updates to leadership.
    • Recommend improvements to operational processes, systems and workflows.
    • Prepare and facilitate the weekly Campus Operations leadership meeting, including agendas, action items and follow-up.
    • Coordinate volunteer planning and administrative support for churchwide events approved by the Director.
  • Procurement / Vendor / Budget Administration:
    • Coordinate purchasing, invoices, contracts and renewals, keep vendor records, and flag issues to leadership.
    • Evaluate vendor performance with the Director and recommend improvements.
    • Monitor the Campus Operations budget, including tracking expenditures, supporting forecasting and annual planning, and identifying variances.
  • Attend staff meetings, functions, retreats and training, support the Senior Pastor and staff, and perform other duties as assigned by the supervisor.

  • Strong written and verbal communication skills, including the ability to communicate effectively with ministry leaders, staff, vendors and outside groups.
  • Proficiency in Microsoft Office, particularly Excel, Word and Outlook.
  • Ability to learn and effectively administer Ministry Platform, EMS, Social Tables and other operational systems.

EDUCATION & EXPERIENCE  

  • College degree preferred.
  • Previous experience in operations, administration, project management, hospitality, facilities, and/or event management preferred.

Physical Requirements

  • Prolonged periods of standing, walking and sitting. Sitting at a desk or working on a computer.
  • Must be able to lift 15-20 pounds at times.
  • Ability to work in both indoor and outdoor environments.
