Role Summary


TheOnsite Compliance Coordinator AssistantĀ will assist the Compliance Coordinator Manager to conduct community inspections, documents and tracks violations, processes ARC/ACC submissions and applies association governing documents while communicating effectively with homeowners and staff.

ResponsibilitiesĀ 


  • Drive personalĀ vehicle throughout the community to identify lots where violations of the governing documents exist
  • UseĀ iPad to document that violation for the purpose of communicating that violation to the owner and/or occupant of the unit
  • Assist Compliance Manager with processing all ARC/ACC submissions
  • Study the association's governing documents
  • Apply the standards in the documents in real-life situationsĀ and tracking those violation notices with the aid of company software
  • Ideal candidates will be detail-oriented, strong communicators, and be comfortable working alone, with some interaction with homeowners and staff
  • Respond to homeowner calls, emails, and office inquiries regarding community standards, violation notices, architectural applications, and general association matters
  • Prepare and distribute violation notices, follow-up correspondence, and other association communications as directed
  • Assist the Community Association Manager with filing, data entry, scanning, mail processing, and other routine administrative tasks
  • Coordinate appointments and maintain calendars for inspections, application reviews, meetings, and compliance deadlines
  • Refer homeowner concerns, disputed violations, and matters requiring management or Board decisions to the appropriate person

Qualifications


  • Valid driver’s license, reliable personal vehicle for community inspections, and a clean driving record
  • Previous experience in administrative support, customer service, compliance inspections, or HOA management preferred
  • Strong attention to detail and accuracy in documenting violations, preparing correspondence, and maintaining records
  • Strong organizational and time management skills, with the ability to prioritize tasks and balance field inspections with office responsibilities
  • Proficiency with computers, tablets, email, Microsoft Office, and the ability to learn company management software
  • Ability to learn, interpret, and consistently apply association governing documents and community standards
  • Effective written and verbal communication skills, with the ability to explain requirements clearly and interact professionally with homeowners, staff, and management
  • Ability to handle homeowner concerns and disputed violations calmly and refer issues to the appropriate person
  • Ability to work independently and collaboratively as part of a team
  • Ability to maintain confidentiality when handling homeowner information and association records
  • Ability to operate standard office equipment, including copiers, scanners, and printersĀ

Physical Requirements


  • Ability to sit for prolonged periods at a desk and work on a computer.
  • Ability to occasionally stand, walk, bend, or reach as needed.
  • Ability to lift or move objects up to 10–15 pounds (e.g., files, office supplies).
  • Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment.
  • Visual acuity to read printed materials, spreadsheets, and computer screens.
  • Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings.
  • Ability to work in a standard office environment with moderate noise levels.
  • Ability to work a standard schedule, with occasional extended hours as required.Ā

$22.00 per hour
