Position Summary
TrueTimber Outdoors is a design, distribution, and sourcing company, with over 100 employees, located in Inman, SC. The company specializes in apparel, textiles, marine components, hydrographic film and outdoor recreational accessories. The company has experienced high levels of growth year after year and provides talented individuals accelerated career growth within the company.
We are currently seeking a self-motivated, highly organized Purchasing Clerk to join our team. The Purchasing Clerk provides administrative and operational support to the Purchasing Department by assisting with purchase orders, vendor communications, inventory information, order tracking, and purchasing-related data. This position helps ensure purchase orders are entered accurately, orders are followed through from placement to receipt, and purchasing information is maintained accurately and efficiently.
The ideal candidate is organized, detail-oriented, dependable, and comfortable working with spreadsheets, ERP systems, vendors, and internal departments.
Key Responsibilities:
- Purchasing and Purchase Orders:
- Enter and maintain purchase orders in the company’s ERP system.
- Prepare purchase orders based on approved purchasing requirements.
- Verify pricing, quantities, item numbers, shipping information, and other order details for accuracy.
- Make updates to purchase orders as directed by the Purchasing Manager.
- Monitor open purchase orders and follow up on outstanding or delayed orders.
- Assist with maintaining accurate purchasing records and documentation.
- Communicate purchase order changes and updates to appropriate internal departments.
- Vendor Communication:
- Communicate with vendors regarding order status and expected ship dates
- Follow up with vendors regarding late, incomplete, or incorrect shipments.
- Escalate vendor issues, significant delays, pricing discrepancies, or other concerns to the Purchasing Manager.
- Inventory & Order Support:
- Assist in identifying shortages, delayed shipments, and potential inventory issues.
- Coordinate with Warehouse, Inventory, Sales, and other departments regarding purchase order and inventory information.
- Assist with receiving and invoice discrepancies by researching purchase order and shipment information.
- Data Entry & Reporting:
- Maintain accurate item, vendor, purchasing, and order information within the ERP system.
- Enter and update purchasing-related data in Excel and other company systems.
- Prepare routine purchasing reports and spreadsheets as requested.
- Assist with maintaining purchasing files, documentation, and records.
- Ensure purchasing information is accurate, complete, and up to date.
- Required Qualifications:
- High school diploma or equivalent required.
- 1–3 years of administrative, purchasing, inventory, supply chain, or related experience preferred.
- Proficiency with Microsoft Excel and Microsoft Office.
- Strong attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
- Ability to learn and effectively use ERP and purchasing systems.
- Ability to work independently while also collaborating effectively with internal departments and vendors.
- Preferred Qualifications:
- Previous purchasing, inventory, supply chain, or distribution experience.
- Experience working with an ERP system such as NetSuite.
- Experience working with purchase orders and vendor management.
- Intermediate Excel skills, including sorting, filtering, formulas, and data management.
- Experience working in a retail, wholesale, manufacturing, or distribution environment.
