Position Summary

The Office Manager is responsible for supporting the day-to-day administrative and operational functions of BWW to help ensure an organized, efficient, and well-functioning workplace. This role serves as a central point of coordination for office operations, administrative needs, internal processes, vendors, supplies, scheduling, and general staff support.

The Office Manager will work collaboratively across the organization to maintain effective office systems, coordinate operational activities, and ensure staff have the resources and support needed to perform their work effectively. The ideal candidate is highly organized, proactive, detail-oriented, and able to manage multiple priorities while providing responsive and professional support to staff, leadership, and external partners.

Responsibilities and Tasks

  • Manage the day-to-day operations of the office, maintaining an organized, professional, and welcoming environment that is clean, well-stocked, and ready for staff and visitors.

  • Serve as the primary point of contact for office-related questions and requests, providing courteous, professional assistance to staff, leadership, visitors, vendors, and external partners.

  • Manage office supplies, equipment, and inventory, including ordering, restocking, and coordinating repairs, maintenance, or replacement as needed.

  • Serve as the primary liaison with building management on maintenance, repairs, access, and other facility needs, including managing keys, access cards, and parking information.

  • Coordinate with office vendors and service providers, scheduling services, maintaining vendor records, and ensuring work is completed on time and to standard.

  • Coordinate incoming and outgoing mail, packages, deliveries, and general office correspondence.

  • Maintain organized electronic and physical files, records, and administrative documents, handling organizational and employee information with confidentiality and discretion.

  • Maintain office calendars and manage shared spaces, conference rooms, and other workplace resources, including scheduling meetings, reserving rooms, and preparing meeting materials.

  • Plan and coordinate logistics for in-person meetings, staff gatherings, trainings, and organizational events, including room setup and breakdown, catering, supplies, technology, and vendor coordination.

  • Support employee onboarding and offboarding by preparing workspaces, coordinating equipment and office access, and helping new staff get oriented to the office and its resources.

  • Collect, organize, and submit invoices, receipts, and support documentation for office purchases and services to the appropriate staff for processing and approval.

  • Maintain records of office purchases, subscriptions, and vendor services, tracking recurring expenses, and anticipating upcoming office needs.

  • Identify and recommend improvements to office organization, systems, and administrative processes to increase efficiency and better support staff.

  • Provide general administrative support to staff and leadership, assist with special projects, and perform other related duties as assigned.

Required Qualifications

  • 3+ years of experience in office management, administrative support, or a similar role, including coordinating meetings, maintaining calendars, and supporting office events and activities.

  • Strong organizational, time-management, and attention-to-detail skills, with the ability to manage multiple priorities and maintain accurate records and documentation.

  • Excellent written and verbal communication, interpersonal, and customer-service skills, with the ability to work effectively with staff, leadership, visitors, vendors, and external partners.

  • Ability to handle confidential and sensitive information with professionalism and discretion.

  • Ability to work independently, take initiative, and anticipate and prioritize day-to-day office needs.

  • Commitment to health equity, racial justice, gender justice, reproductive justice, and community-centered work.

Valued and Preferred Experience

  • Bachelor's degree in Business Administration, Office Administration, or a related field.

  • Experience in a nonprofit, advocacy, community-based, or mission-driven organization, supporting a team in a fast-paced, collaborative environment.

  • Experience coordinating vendors, facilities, supplies, and workplace services, including workspace, equipment, and office access for onboarding and offboarding.
