JOB SUMMARY:
The Office Lead oversees day-to-day site operations while maintaining hands-on patient care. This dual role bridges the gap between administrative leadership and clinical staff. This role mentors medical assistants and administrative staff while optimizing patient flow and ensuring compliance with healthcare regulations to deliver exceptional patient experience.

Â
- Manage Daily Office Flow: Coordinate patient traffic and various patient schedules to ensure the office runs efficiently and on time.
- Team Support & Mentorship: Oversee the training, onboarding, and mentoring of new medical assistants and administrative staff as needed.Â
- Schedule Oversight: Assist the Office Supervisor with staff schedules and daily task rotations as needed to ensure that all positions are covered daily. This includes satellite offices.Â
- Inventory Management: Monitor medical and office supply levels, restock rooms, and coordinate reordering with leadership.
- Compliance & Safety: Ensure adherence to OSHA, HIPAA, and infection control standards across the office as well as company policies and procedures.
- Suite/Building: Responsible for all suite/building maintenance issues and repairs as needed of facilities and equipment, including parking lot concerns. Work with building owners and other members of leadership as needed.
- Staffing Concerns: Work with administrative staff’s direct leadership and HR as needed to address policy or process concerns.Â
- Patient Concerns: Speaks with patients who may have an immediate concern or complaint while they are in the office. All information gathered by the Office Lead with the patient will then be sent to the relevant member(s) of leadership and HR as needed for them to then follow up with the patient and/or employee.Â
- Mail: Receives and distributes all mail, including posting all outgoing correspondence.
- Bank Deposits: Responsible for dropping off the bank deposit as necessary
- Perform other job-related duties as assigned

- Understanding of basic HIPAA, OSHA, and BBP standards
- Physical stamina to stand, walk, and assist patients and staff throughout the workday.

WORK ENVIRONMENT:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.

This is a full-time position, 40 hours per week, 4 or 5 days per week

Travel is as needed to other office locations

PAY:Differential pay of $1 - $2 per hour depending upon experience
Qualifications
EDUCATION AND EXPERIENCE:
- A minimum of a high school diploma; bachelor’s degree preferred, or equivalent of education and experience.Â
- Prior experience in supervision, mentoring, training, or senior support role is a plus.
