We're now looking for an Office Coordinator to keep our Sydney office running at its best.
About the Role
Based onsite in our North Sydney office, you'll be the go-to person for keeping the office running smoothly day to day. You'll also provide administrative support to members of our senior leadership team. This is a varied role that combines office coordination, executive support and event organisation.
It's a great opportunity for someone with a few years of administrative or coordination experience who is organised and proactive, and who enjoys a busy, fast-paced environment.
What you'll do
Office Coordination
- Be the first point of contact for visitors, building management and general office queries, creating a welcoming experience for everyone who walks through the door.
- Keep the office, meeting rooms and shared spaces well maintained, including daily upkeep of the kitchen, dishwasher and coffee machine.
- Manage office supplies, stock levels and supplier relationships.
- Coordinate couriers, deliveries and daily mail.
- Maintain company car registers and coordinate bookings for staff.
- Organise staff gifts, awards and stakeholder thank-you items.
- Identify and escalate facilities issues, following through until they're resolved.
- Provide ad-hoc administrative support across the business
Executive Support
- Coordinate calendars, schedule meetings and provide day-to-day administrative support to senior leaders.
- Support meetings with agendas, note-taking and follow-ups.
- Assist with preparing documents, presentations and basic reporting.
- Manage travel bookings (flights, accommodation and car hire) and expense administration for assigned leaders.
- Help triage incoming requests and make sure they get timely, professional responses.
Events & Culture
- Help organise internal events, team activities and office initiatives, from leadership offsites and team lunches to end-of-year celebrations.
- Coordinate catering and logistics for meetings and small events.
- Partner with the People & Talent team on culture initiatives and in-office experiences.
About You
This role is for someone who takes pride in making things work. You're proactive, organised and energised by variety.
You will bring:
- 2–3 years' experience in an office coordination, administrative or similar role.
- A proactive approach: you anticipate needs, take initiative and follow through reliably.
- Excellent written and verbal communication skills, with the ability to engage professionally with a range of stakeholders.
- Strong attention to detail and the ability to manage multiple priorities in a dynamic environment.
- Sound judgement when handling sensitive or confidential information.
- A positive, can-do attitude and a genuine enjoyment of being the person who holds things together.
Highly regarded:
- Experience in office management or facilities coordination.
- Experience supporting senior leaders or working in an Executive Assistant capacity.
- Experience in a tech, SaaS or high-growth scale-up environment.
