This person is proactive, organized and people-centric. They switch easily between hosting a board member, resolving a vendor issue, setting up a new hire's workstation and writing the SOP for a branch office. They partner closely with the People Team to deliver a best-in-class employee experience and with Operations so field offices have what they need to run well.

Essential Functions:

HQ Office Management

  • Run day-to-day HQ operations so the office is clean, organized, stocked and fully functional
  • Serve as the first point of contact for visitors, candidates and team members; host outside guests including bankers, the board and investors with polish and professionalism
  • Own office supplies, vendor relationships, building management, maintenance requests, shipments and equipment
  • Maintain meeting rooms, shared calendars and office logistics for smooth daily operations
  • Manage the HQ office budget

HQ Move-in and Facilities

  • Lead the move into the Spectrum Center: furniture, cabling, A/V, signage, decor, access and the transition out of the current space, including all vendor and building management coordination
  • Serve as the point person for current and future building management
  • Lead the build-out of the adjacent expansion space when Veridian exercises its right of first refusal (expected within 12 to 18 months) and any future HQ facilities projects
  • Maintain the HQ facilities plan: seating, badges and keys, parking, space standards

Field Office Standards

  • Build the Veridian field office standard and SOP: what every branch office and coworking location needs to run well (space, furniture, supplies, equipment, vendors, mail and shipping, access, signage, new hire setup)
  • Pilot the standard with the Dallas field office administrator, then roll it to Houston, Austin, San Antonio and each new market
  • Manage coworking provider relationships and agreements in markets without a dedicated office
  • Partner with Operations leadership so the local administrative responsibilities Project Coordinators take on are defined, documented and aligned with the standard
  • As branch administrative roles are added, serve as their functional lead for standards and consistency

Events and Logistics

  • Coordinate office events, celebrations, team meetings and culture-building activities
  • Own logistics for company off-sites, leadership meetings, annual kickoffs and board or investor visits to HQ

People Operations Support

  • Coordinate onboarding: scheduling, first-day setup, welcome packets, workstation and equipment
  • Help maintain accurate employee files, records, badges, logs and documentation
  • Support culture initiatives: recognition programs, birthdays and anniversaries, events, surveys

Technology Support

  • Set up workstations and equipment for new hires and office moves; maintain the equipment inventory across HQ and field offices
  • Provide first-line, hands-on help in the office for basic workstation and conference room issues
  • Coordinate with the Director of IT on equipment, A/V and office technology needs; employees contact Contigo, the IT managed service provider, directly for IT support

First 90 Days

  1. Complete the Spectrum Center move-in and close out the punch list (furniture, cabling, A/V, decor, vendor setup)
  2. Stand up HQ operating basics in the new space: vendors, supplies, access, meeting rooms, guest experience
  3. Document the Dallas field office with the Dallas field office administrator as the pilot for the field office standard
  4. Draft the field office standard and SOP and review it with People and Operations leadership
  5. Inventory equipment and workstation setups across HQ and field offices with the Director of IT
