Service Support, Back Office

Responsibilities / Tasks

Responsibilities:

• Prepare and process sales quotations, proposals, and contracts.
• Maintain and update customer records and sales data in CRM and ERP systems (e.g., SAP).
• Track and follow up on sales orders, delivery schedules, and invoicing.
• Act as a liaison between customers and internal departments (logistics, finance, service).
• Respond to customer inquiries and provide timely updates on order status.
• Ensure all sales documentation is complete, accurate, and properly filed.
• Generate regular sales reports and assist in sales forecasting and budgeting.
• Coordinate with various departments to ensure seamless operations.
• Support the sales team with travel arrangements, meeting coordination, and event planning.
• Assist in organizing customer visits, product demos, and exhibitions.
• Other tasks assigned by Line Manager

Your Profile / Qualifications

Requirements

• Minimum 2 years of experience in Sales Administration, Customer Service, Service Support, or a related role.
• Experience working in an engineering, industrial, manufacturing, or technical business environment is preferred.
• Strong attention to detail, accuracy, and accountability in handling documentation and processes.
• Proven ability to prioritize tasks and manage multiple responsibilities effectively.
• Customer-oriented mindset with excellent problem-solving skills.

Skills & Competencies

• Proficient in Microsoft Office applications (Excel, Word, PowerPoint).

• Familiarity with ERP and CRM systems; SAP knowledge is an advantage.
• Strong verbal and written communication skills in English and Vietnamese.
• Excellent organizational, coordination, and interpersonal skills.
• Proactive, detail-oriented, and able to work independently as well as collaboratively within a team.
• Positive attitude with a strong commitment to customer satisfaction and operational excellence.
