The Coordinator serves as a vital member of our Events teamāa collaborative, mission-driven, donor- and sponsor-focused group of professionals who are committed to delivering best-in-class events through a spirit of teamwork and support. The Coordinator contributes, in part, to the successful execution of 100+ annual events that unite and celebrate our vibrant donor community and raise $20M+ annually to support the mission of the Mass General Brigham Development Office.
With appropriate guidance, the Coordinator handles several important administrative event team functions, including calendar management, preparations and follow-up for meetings and events, business expenses and travel arrangements, among others. The Coordinator handles data entry, including event RSVPs and registration information for a range of event activity. The Coordinator also assists in the planning and successful execution of events, including providing on-site support.
Essential Functions (Key Roles & Responsibilities)
ā¢Support the planning and successful execution of events, including on-site staffing.
ā¢Gather and record RSVPs, data, and action items in a donor database, ensuring thorough documentation of guest/participant activity and results
ā¢Coordinate with internal teams to support event logistics and communications.
ā¢Coordinate logistics, prepare agendas and other materials, take notes and organize follow-up actions for meetings, events, appointments and presentations, troubleshooting issues as needed
ā¢Write and/or edit documents, and interpret information necessary to draft responses as needed
ā¢Attend to constituent phone and email inquiries, as needed
ā¢Submit employee expenses and vendor invoices
ā¢Assist with daily administrative activities

Qualifications
High school diploma or equivalent required and 1-2 years of experience in a customer service or relationship-building role. Bachelorās degree preferred but not required. In addition, the ideal candidate will possess the following skills, abilities and competencies:
- Strong verbal and written communication skills
- Organizational, time management, problem solving and project management skillsĀ Ā
- Command of Word, PowerPoint, Excel and Outlook, or the ability to learn them quickly
- Competency using videoconferencing platforms (Zoom and Teams preferred)Ā
- Proficiency with data entry or data management in a database (Blackbaud CRM or Raiserās Edge preferred)
- Attention to detail, creativity and strong work ethic
- Desire and motivation to learn about the organization and fundraising
- Awareness of personal work styles in self and others
- Adaptability and flexibility in times of shifting priorities
- Ability to work collaboratively with diverse audiences
- Mission driven
