Medical Receptionist
Location: Northwest
Department: Clinic
Schedule: Non-Exempt, Grade 12
Reports To: Receptionist Supervisor and/or Clinic Manager
Supervisory Responsibility: None

As aMedical Receptionist, you’ll be an essential part of the patient experience and the smooth operation of our clinic. You’ll be one of the first people patients encounter, helping them feel welcomed, informed, and cared for while ensuring appointments, records, and clinic communications are handled accurately and efficiently.

What You’ll Do

Welcome patients with professionalism and a friendly, helpful attitude.

Check patient photo identification, verify patient information and insurance documentation, and complete registration requirements.

Schedule patient examinations and assist with appointment-related questions.

Help keep the clinic running smoothly by supporting patient flow and coordinating with clinical and administrative staff.

Contact patients to confirm appointments, provide exam preparation instructions, and help ensure they arrive prepared for their visit.

Scan and maintain patient documentation in Centricity.

Prepare and organize charts for the following day.

Print CDs and reports for patients and ensure required Release of Medical Information documentation is obtained.

Receive, distribute, and route incoming mail and faxes.

Answer incoming calls and direct or transfer calls to the appropriate staff.

Respond appropriately to 911 calls and provide clear directions to EMTs when emergency assistance is needed.

Work closely with radiologists, clinic staff, referring clinics, and patients to resolve scheduling questions and concerns.

Provide backup support for Schedulers, Tech Assistants, and/or Radiology Assistants as needed.

Represent and incorporate our company values in every interaction with patients, visitors, providers, and coworkers.

Support the clinic with general clerical duties, department supply stocking and ordering, and other operational needs.

Assist with training employees when a Senior Receptionist is unavailable.

Provide support to other departments and take on additional responsibilities as needed.

Qualifications

High school diploma or equivalent required.

Previous receptionist, scheduling, or customer service experience in a medical setting is preferred.

HUC (Health Unit Coordinator) or related medical administrative certification is a plus.

Familiarity with medical terminology is preferred.

Strong customer service and patient care skills, with a genuine commitment to creating a positive patient experience.

Excellent verbal and written communication skills, with the ability to communicate effectively with patients, referring clinics, coworkers, supervisors, and radiologists.

Strong organizational skills and the ability to prioritize multiple tasks while working both independently and as part of a team.

Detail-oriented with a commitment to accuracy and quality.

Comfortable using computers, email, keyboarding systems, and medical scheduling software.

Demonstrates sound safety awareness and follows safe work practices to help maintain a secure environment for patients and coworkers.
What You Can Expect
This position is primarily based in an office and clinic environment. The role involves periods of sitting, along with occasional bending, stretching, twisting, turning, gripping, and grasping. Regular keyboarding and other repetitive hand and arm movements are part of the position.
The ability to occasionally lift and move items weighing up to50 pounds may be required.
