Position Summary
The Lending Associate provides operational and member service support for Wellby's consumer and mortgage loan portfolios. This entry-level position is responsible for assisting members with loan servicing needs, processing routine servicing transactions, maintaining accurate loan records, and supporting the day-to-day administration of consumer and mortgage loans. The role supports the accuracy, quality, and timely processing of loan servicing activities while helping ensure compliance with established policies, procedures, regulatory requirements, and internal controls. Working closely with team members across the lending function, the Lending Associate contributes to the efficient servicing of loan accounts and the delivery of a positive member experience.
Principle Duties and Responsibilities

- Provide friendly, professional, and accurate service to members regarding consumer and mortgage loan accounts.
- Process and post loan payments, corrections, adjustments, and other servicing transactions in accordance with established procedures and authorization limits.
- Assist members with consumer and mortgage loan payoff requests, payment research, and account inquiries.
- Maintain accurate loan records and update member and loan information within applicable servicing systems.
- Review loan accounts and servicing documentation for completeness and accuracy.
- Assist with mortgage escrow administration activities, including taxes and insurance, as assigned.
- Assist with tracking insurance coverage and other required documentation for consumer and mortgage loans.
- Prepare and distribute routine member correspondence, notices, statements, and other loan servicing documents.
- Scan, index, upload, and maintain loan documents within Wellby's document management systems.
- Perform routine quality control reviews to help ensure loan servicing records and documentation are complete and accurate.
- Identify discrepancies or servicing issues and escalate them to the appropriate team member or supervisor for resolution.
- Follow established procedures and internal controls designed to safeguard member information and Wellby assets.
- Participate in departmental training and cross-training to develop knowledge of consumer lending, mortgage servicing, and loan servicing operations.
- Assist with user testing and validation activities related to lending system enhancements, process improvements, and new products, as assigned.
- Support the maintenance of operational procedures, forms, job aids, and other departmental documentation.
- Assist with tracking operational issues, system updates, and process improvement initiatives, as needed.
- Performs other related duties as assigned.
Knowledge, Skills, and Abilities (KSA)
- Knowledge of Wellby’s organizational functions, and general operating policies and procedures.
- Knowledge of general office practices and procedures, business English, spelling, and punctuation.
- Knowledge of personal computers, utilizing Microsoft Office Suite and other software.
- Knowledge of consumer lending, mortgage lending, or loan servicing processes.
- Knowledge of financial services, banking, or credit union operations.
- Knowledge of recordkeeping, document management, and data entry practices.
- Skilled in operating computer equipment and general office machines such as personal computers, copiers, projection equipment, audio/video, Microsoft Teams, Zoom Video Communications, and adding devices.
- Skilled in accurate data entry and record maintenance skills.
- Ability to follow established policies, procedures, and regulatory requirements
- Ability to identify discrepancies and escalate issues appropriately.
- Ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Ability to work in a fast-paced team environment with exceptional member service skills.
- Ability to communicate clearly and concisely, orally and in writing.
Supervisory Responsibilities
- The team member does not have supervisory responsibilities.
Complexity & Scope of Work
- The team member follows Wellby’s policies and procedures, Team member Handbook, and federal and state laws and regulations in accomplishing assignments
- The team member performs a variety of related tasks which are mostly routine but are sensitive in nature.
- Non-routine situations or conflicts are usually referred to the supervisor for resolution.
- Instructions to the team member may be general or specific in nature.
- Courses of action are determined by established procedures and/or their leader.
- The team member’s work is reviewed periodically for accuracy, completion, and compliance with the policies and procedures.
- Tasks may occasionally have to be coordinated, integrated, and/or prioritized.

- To perform this job successfully, the team member is frequently required to remain in a stationary position 50% of the time. The team member must be able to exchange information, in person, in writing, and via telephone. Some degree of stress results from contact with management and other team members.
- The ability to observe details at close range (within a few feet of the observer).
- Must be able to occasionally lift items weighing up to 25 pounds across the office and load them onto shelves for various needs.

- Work involves the typical risks and discomforts associated with an office environment but is usually in an area that is adequately cooled, heated, lighted, and ventilated.
- Minimum Qualifications
- High School diploma or equivalent required.
- Basic knowledge of loan servicing, financial services, accounting principles, or financial recordkeeping; relevant coursework, internships, member service experience, or prior clerical/administrative experience preferred.
- Proficient in Microsoft Office Suite, particularly Outlook, Word, and Excel; experience with financial, lending, or loan servicing systems is a plus.
- Strong attention to detail, organizational skills, and the ability to accurately process transactions and maintain records.
