Position Summary
GACCNY is seeking a part-time, locally based coordinator to support Apprenticeship services and consortium activities throughout the Lehigh Valley and surrounding region. Working in coordination with GACCNY and Industrial Training and Education Consortium (iTEC) program leadership, this position will provide local administrative, logistical, and relationship support for participating employers, apprentices, education partners, workforce organizations, and other stakeholders. The role focuses on coordinating employer and apprentice communications, meetings, assessments, events, records, outreach, and follow-up activities. Success requires strong organization, responsiveness, an in-person presence in the region, and the ability to manage assigned priorities independently within a part-time schedule.
Major Duties and Responsibilities
- Serve as a local point of contact for participating employers, apprentices, schools, workforce partners, and consortium members, escalating decisions and complex issues to GACCNY or iTEC program leadership as appropriate.
- Coordinate schedules, meetings, employer visits, apprentice activities, recruitment events, consortium sessions, and other assigned regional engagements.
- Performs apprentice recruitment, selection, onboarding, orientation, progress monitoring, retention, and routine follow-up in coordination with participating employers.
- Maintain accurate participant, employer, program, and consortium records; track milestones, deliverables, open actions, and required documentation.
- Coordinate competency examinations and related logistics, including scheduling, employer preparation, evaluators, facilities, materials, documentation, and follow-up.
- Coordinate mentorship training logistics and deliver assigned sessions using GACCNY-provided instructor preparation and program materials.
- Support consortium administration through meeting preparation, agendas, materials, minutes, member communications, program calendars, and follow-up actions.
- Maintain regular communication with employer representatives and apprentices, provide routine guidance, and help resolve scheduling, documentation, and participation issues in accordance with PADOL requirements.
- Assist with employers, schools, colleges, the Lehigh Valley workforce, and community outreach to strengthen apprenticeship awareness and candidate pipelines.
- Support preparation and maintenance of apprenticeship program standards, registration documents, reports, presentations, outreach materials, proposals, and grant-related information.
- Represent iTEC at selected employer meetings, school and community events, consortium meetings, recruitment activities, and other approved engagements in the Lehigh Valley.
- Provide concise, timely status updates to GACCNY and iTEC program leadership and identify risks, delays, or decisions requiring support.
- Perform other related duties as assigned within the scope and scheduled hours of the position. Responsibilities will be prioritized based on program needs.
Basic Qualifications
- Lives in, or can reliably work in person throughout, the Lehigh Valley of Pennsylvania.
- Ability and willingness to travel within the Lehigh Valley and surrounding area; a valid driver’s license and reliable transportation are required.
- Strong written and verbal communication, presentation, relationship-building, and interpersonal skills.
- Experience in apprenticeship, workforce development, education, training, employer engagement, program coordination, project support, or a closely related field.
- Demonstrated ability to organize schedules, records, communications, deadlines, and multiple concurrent activities with strong attention to detail.
- Ability to work independently, prioritize assigned work within limited weekly hours, and collaborate effectively with remote colleagues and external partners.
- Ability to communicate effectively with company representatives, skilled workers, mentors, apprentices, students, educators, workforce professionals, and public-sector partners.
- Associate or bachelor’s degree preferred; an equivalent combination of education and relevant experience will be considered.
- At least two years of relevant professional or program-support experience preferred.
- Proficiency with Microsoft Office and common collaboration, data-tracking, presentation, and virtual meeting tools.
Preferred Qualifications
- Experience managing or supporting U.S. Department of Labor Registered Apprenticeship programs.
- Knowledge of apprenticeship program registration, standards, compliance documentation, and partner coordination.
- Established relationships with employers, schools, colleges, workforce organizations, or community partners in the Lehigh Valley.
- Experience developing employer partnerships, recruiting candidates, or building education-to-career talent pipelines.
- Experience coordinating assessments, competency evaluations, instructor or mentor training, or work-based learning programs.
- Experience with vocational skill sets and communications.
- Experience with consortium, association, membership, grant-funded, or multi-employer program management.
- Experience with PA Apprenticeship Ambassador program
Schedule and Travel
The normal schedule is expected to be approximately 20–25 hours per week. Work hours may vary based on employer meetings, apprentice activities, assessments, and community events. Some local travel and occasional early morning or evening availability may be required. The employee will coordinate the regular weekly schedule with GACCNY program leadership.
