Stark & Stark is actively hiring aLegal Secretaryfor our Community Associations practice in ourHamilton, NJoffice. In thisfull-time, on-siterole, you’ll work closely with attorneys, clients, and other professionals to deliver excellent work on behalf of our clients. Responsibilities:
- Prepare, revise, proofread, and finalize a wide range of legal documents, correspondence, forms, templates, governing documents, and filings for attorney review and approval.
- Provide administrative and legal support to attorneys in the Community Associations practice, helping manage a fast-paced workflow involving homeowner, condominium and cooperative association matters.
- Professionally answer and handle phone calls and act as client liaison on practice matters.
- Maintain organized and accurate electronic case files, including document management, scanning, copying, filing, faxing and mailing.
- Coordinate and prepare materials for association-related filings and transactions, including annual reports, attorney registrations, e-recordings, governing-document books and online versions, and other practice-specific submissions.
- Assist with billing inquiries, expense-related submissions, settlement or disbursement documentation, and follow-up activities as needed.
- Handle other responsibilities as directed.
Qualifications
- The right candidate will have at least two years of law firm experience.
- Legal secretarial or comparable legal administrative experience in Community Associations matters is a plus.
- Knowledge of Filevine, NetDocuments and Rippe is a plus.
- Comprehensive knowledge of Microsoft Office is a must.
- The ideal candidate will be self-directed, and detail oriented with a high level of accuracy.
- Able to organize and manage multiple tasks in a fast-paced environment.
- Ability to maintain a high level of discretion, judgment, confidentiality, professional and ethical standards in communications with both external and internal parties.
- Well organized and able to see an assignment through to successful conclusion.
- Self-directed; able to think analytically and solve problems with little direction.
- Able to demonstrate a customer service demeanor regardless of the person or issue at hand.
- Ability to learn and adapt to emerging technologies in the legal field.
